Part-Time Front Office Administrator
Youngstown, OH
Part-Time (Monday – Friday 8-12 or 8-1)
Contract-to-Hire

Position Overview
We are seeking a detail-oriented and dependable Front Office Administrator to support the daily operations of an environmental testing facility in Youngstown, OH.
This is a contract-to-hire opportunity for someone who is looking for a position where they can learn, grow, and take on additional responsibilities over time. The role is based in the front office and does not require working in the laboratory environment.
The facility performs testing for drinking water, wastewater, and limited solid waste. The Front Office Administrator will interact with clients who bring samples to the facility, complete the required paperwork, and take the samples back to the laboratory for testing.
Key Responsibilities
  • Greet and direct visitors at the front desk in a professional and friendly manner.
  • Answer incoming phone calls, direct calls, and respond to basic questions.
  • Receive samples from clients and provide new bottles for future sample collection.
  • Take incoming samples from the front office to the laboratory for testing.
  • Complete required paperwork and documentation for incoming samples.
  • Handle the distribution of reports and invoices.
  • Receive paper checks from clients and incoming mail.
  • Enter check information accurately into the computer system.
  • Maintain organized paper files and documentation.
  • Follow established procedures for sample documentation and processing.
  • Take detailed notes and learn client-specific processes and requirements.
  • Assist with additional administrative responsibilities as training and experience increase.

Schedule & Hours

  • The initial schedule is expected to last approximately 60 days, while the employee learns the processes and becomes familiar with clients and daily responsibilities.
  • As the employee becomes more experienced and additional work becomes available, there is potential for increased hours and responsibilities if that is something that you would like to do.
  • Candidates who are seeking a full 8-hour day/40-hour week should communicate this upfront, as additional hours may be possible for the right candidate.
Work Environment
  • This is a front office position.
  • You will not be working in the laboratory or performing laboratory testing.
  • You will occasionally take samples from the front office to the lab after receiving them from clients.
  • The facility follows EPA guidelines for testing and sample documentation.
  • Employees will be trained on the applicable procedures and requirements.
  • There are chemicals present at the facility for testing purposes; exposure levels are very low and the chemicals are not considered toxic.
  • The facility primarily works with municipalities and companies rather than individual consumers.
