Description

Objective and Responsibilities

Cone Distributing, Inc. is looking for a professional, organized, and people-focused HR Assistant / Receptionist to join our Human Resources team.

This position is much more than answering phones and greeting visitors. As one of the first points of contact for Team Cone, you will play an important role in creating a positive experience for our team members, customers, vendors, applicants, and visitors. At the same time, you will provide critical administrative and HR support to our HR Generalists and HR Director.

The ideal candidate is someone who takes pride in being dependable, organized, welcoming, and detail-orientedโ€”and who enjoys helping people and keeping things running smoothly.

The Receptionist / HR Assistant will autonomously complete duties and functions in an accurate, timely and thorough manner with minimal supervision working closely with the HR Generalists and the HR Director.

What You'll Do

Reception & Administrative Support

  • Welcome and assist visitors, customers, vendors, and team members in a professional and friendly manner.
  • Answer and direct incoming calls using a multi-line phone system.
  • Respond to inquiries and connect individuals with the appropriate person or department.
  • Maintain company communications and employee information, including vacation schedules, birthdays, anniversaries, and related postings.
  • Prepare correspondence, reports, forms, and other company materials.
  • Provide administrative support to management and the Human Resources department.
  • Assist departments with special projects, including coordination, documentation, and execution.
  • Assist with company events, meetings, meals, and other activities.
  • Perform other duties as assigned.

Human Resources Support

  • Process employment applications in accordance with Human Resources guidelines.
  • Schedule candidate interviews and maintain accurate applicant information in Paycom, our HRIS.
  • Support the new-hire onboarding process, including:
    • Scheduling pre-employment evaluations.
    • Tracking onboarding requirements and progress.
    • Preparing and sending offer letters.
    • Preparing employee ID badges.
    • Distributing uniforms, company apparel, and other new-hire materials.
    • Assisting with interviews and onboarding activities.
  • Maintain accurate electronic and paper HR records, including scanning, saving, labeling, and organizing confidential documents.
  • Process employment verification requests.
  • Assist with off-site recruiting and recruiting events.
  • Order and maintain inventory of company shirts, hats, uniforms, and other branded items.
  • Process payroll deduction paperwork and assist with invoice reconciliation related to company merchandise.
  • Track driver's licenses and DOT Medical Certificate expirations and coordinate timely renewals.
  • Assist the HR team with FMLA, workers' compensation, benefits, and other employee-support processes.
  • Provide general administrative assistance to the HR team as needed.
  • Perform other duties as assigned.

Education & Experience

  • High school diploma or equivalent required.
  • Associate's or bachelor's degree in any field is preferred.
  • 2โ€“3 years of administrative, clerical, customer service, or related experience preferred.
  • A combination of relevant education, training, and experience may be considered in lieu of meeting the preferred minimum requirements.
  • Previous Human Resources experience is a plus.
  • Previous experience working with an HRIS, particularly Paycom, is preferred; demonstrated ability to quickly learn HRIS systems is required.
  • Ability to quickly learn and effectively use multiple computer systems and electronic records-retention tools.
  • Experience with multi-line telephone systems, copiers, and other standard office equipment.
