Description
Prairie Band, LLC, is a rapidly growing tribal holding company operating several subsidiary companies and is seeking a Receptionist for our Holton, Kansas office. With a powerful reputation for excellence, we pride ourselves on creating innovative solutions that meet the needs of our clients while maintaining a positive and collaborative work environment. The Receptionist serves as the first impression for the organization and ensures efficient administrative operations while delivering friendly customer service and focusing on the organization's mission and goals.?
Major Duties:

  • Serve as receptionist by responding to or forwarding all incoming calls in a cheerful, polite, and professional manner.
  • Monitors and maintains the phone system and voice mail messages, reporting any issues as they arise.
  • Coordinating conference room bookings and ensuring meeting spaces are prepared and well-equipped for use.
  • Handling mail and deliveries, including sorting, distributing, and scheduling courier pickups as needed. Assists with organization special mailings. Maintains postage available to staff and reports expenses to the accounting department.
  • Maintaining a clean and organized reception area reflects the company's commitment to high standards.
  • Assisting with administrative tasks such as filing, data entry, and preparing documents or reports for meetings. Continuously reviews, edits, and approves outgoing documents.
  • Monitoring and ordering office supplies in collaboration with the facilities or procurement team.
  • Supporting the HR and Operations departments by scheduling interviews or onboarding new hires, as necessary.
  • Adhering to security protocols by managing visitor logs, issuing access badges, and monitoring building entry procedures.
  • Provides a timely response to inquiries for information.
  • Assists others with preparing and shipping equipment to remote employees.
  • Acts with professionalism while representing organization at events.
  • Works collaboratively with staff to maintain a team environment to accomplish the tasks necessary to serve and support the organization.
  • Ensure compliance with all applicable federal and state laws and company guidelines regarding matters of employment law and regulation.
  • Respond to management and staff inquiries regarding HR issues and ensure uniform and equitable application of policies and procedures.
  • Maintain the accuracy and integrity of employee information including FLSA classifications, job descriptions, and competencies by position.
  • Arranges management interviews by coordinating schedules; arranges travel, lodging, and meals; escorting applicants to interviews; arranging community tours.
  • Improves organization attractiveness by recommending new policies and practices; monitoring job offers and compensation practices; emphasizing benefits and rewards.
  • Accomplishes human resources and organization mission by completing related results as needed.
  • Supports Tribal Nation events and activities as needed.
  • Perform project related activities and other functions as assigned.
Requirements
Required: A High School Diploma or GED is required.?
Preferred: 1 year Certificate or associate's degree in related field
Required: Six Month to 1 year of work-related experience in administrative or HR field.
Preferred : Two (2) years of work-related experience providing administrative and secretarial support services.?
  • Successfully pass a background check and pre-employment drug screening.
  • Valid driver's license for travel is required.
  • Excellent computer skills including Word, Windows, and Excel.?
  • Ability to read, write, and speak English.
  • Ability to solve practical problems and be able to manage variety of concrete variables in situations.
  • Ability to effectively communicate, present information and respond to questions, both verbal and written.
  • Ability to prioritize and manage work effectively and efficiently to accomplish tasks while managing multiple projects at the same time and delivering friendly service.
  • Ability to work independently and in team settings.
  • Ability to exercise good judgment with a strong attention to detail.
