The Opportunity � Office Assistant
We are seeking an organized, dependable, and detail-oriented Office Assistant to support our office, field teams, and project/accounting functions.
This role is the backbone of our day-to-day operations � keeping our people equipped with the tools and supplies they need, keeping our office running smoothly, and keeping our project documentation and compliance records accurate and current. You'll manage everything from device setup and vendor coordination to lien releases and Certificates of Insurance, working closely with leadership, project teams, and accounting to keep things moving.
Office Assistant Responsibilities
  • Manage company technology needs for staff � phones, tablets, and related devices, including setup, troubleshooting, and vendor coordination
  • Set up employee email accounts and provide general Microsoft 365 support
  • Coordinate with vendors to order uniforms, PPE, and office/breakroom supplies
  • Coordinate meetings needed for field and office teams
  • Track required safety and compliance training assignments (e.g., OSHA certifications and renewals)
  • Serve as the point of contact for office facility and maintenance needs
  • Support employee recognition and morale initiatives
  • Request lien releases and lien waivers from vendors and suppliers
  • Communicate with general contractors and customers regarding documentation requests
  • Maintain and organize lien releases, Notices to Owner (NTOs), and project files
  • Request, collect, and track Certificates of Insurance (COIs)
  • Follow up on outstanding documentation and ensure records remain current
  • Maintain accurate filing systems and tracking logs
  • Assist with project closeout documentation and payment-related requests
  • Provide administrative support to Accounts Receivable and Operations teams
  • Perform other administrative duties as assigned
