Description
The Duluth Transit Authority (DTA) is looking for a part time Accounting Clerk. The person in this position is responsible for processing accounts payable and accounts receivable. Work is performed in accordance with Generally Accepted Accounting Principles (GAAP).
Accounts Payable Duties:
  • Code all incoming vendor invoices and ensure proper approval has been obtained.
  • Enter vendor invoices into the accounting system.
  • Process weekly check runs.
  • Prepare monthly gas tax refund returns.
  • Reconcile vendor statements.
  • Set up new vendors in the accounting system, request Form W-9 from new vendor and provide Form ST3, Certificate of Exemption, to new vendor.
  • Annually prepare Form 1099s for vendors, mail Form 1099s to vendors, and prepare and submit Form 1096 to the IRS.
  • Maintain the accounts payable records in the accounting system.

Accounts Receivable Duties:
  • Prepare accounts receivable invoices in the accounting system and send to customers.
  • Record accounts receivable cash receipts in the accounting system from the report provided by the Payroll Specialist weekly.
  • Monitor the Accounts Receivable Aging and follow up on past due invoices with customers.
  • Reconcile to the General Ledger monthly.
  • Maintain the accounts receivable records in the accounting system.
  • Identify and propose improvements to accounts receivable processes and systems.

Accounting, Reporting and Other Functions:
  • Provide accurate, timely financial information upon request.
  • Compile data for administrative, fiscal, questionnaires, budgeting and other purposes.
  • Provide information/perform other duties for the external audit.
  • Identify and propose improvements to processes and systems.

Once you are trained in this position provides a flexible, in-office schedule Monday-Friday. This could be anywhere from 20-24 hours per week, full days or part days, depending on your availability and our workload. It could be done early mornings, evenings and possibly a weekend day if desired. This is not a remote position.
Requirements
  • Minimum of two (2) years of post-secondary education with a concentration in finance, accounting, business or related field and a minimum of three (3) years of experience, or experience in lieu of education.
  • Knowledge of accounting principles and practices.
  • Mathematical and accounting acuity.
  • Outstanding organizational and time management skills.
  • Excellent communication skills, both written and spoken.
  • Excellent customer service skills.
  • Excellent attention to detail and accuracy.
  • Team player.
  • Ability to perform functions with minimal supervision.

The performance of the major job functions for this position requires the incumbent to be present at their work setting. Regular, dependable attendance is necessary for the performance of the job duties. Completion of all work in a professional, accurate and timely manner is required. Must be able to sit for an extended period of time. Must have manual dexterity to operate a computer and other office equipment.
