Job description

Summary:
A PACS Coordinator (Picture Archiving and Communication System) supports the PACS Administrator in storage, retrieval, and distribution of digital medical images, ensuring workflow efficiency and system integrity. They troubleshoot technical issues, manage the Radiologist dictation lists including unread reports and addendums as needed, train staff on imaging software, and maintain compliance with HIPAA regulations, acting as a liaison between radiology, IT departments, and vendors.
Essential Duties and Responsibilities
These duties and responsibilities described below represent the general tasks performed daily; other tasks may be assigned.
Imaging Systems Oversight (PACS / RIS / EMR)
• Provide day-to-day operational support for PACS, RIS, and EMR imaging workflows under the direction of workflow manager and leadership.
• Monitor unread cases, addendum needs, system performance, interfaces, and data flow between modalities, RIS, PACS, and EMR to ensure accurate and timely availability of imaging studies and reports.
• Maintain standardized workflows across all imaging locations to support consistency in order entry, duplicate charts, image management, and result distribution.
• Ensure compliance with regulatory standards, data security policies, and patient confidentiality requirements.
Workflow & Data Integrity Management
• Oversee the lifecycle of imaging orders from entry in the EMR through scheduling in RIS to image acquisition, interpretation, and archiving in PACS.
• Ensure accurate patient demographics, order details, and exam associations across all systems.
• Troubleshoot and resolve issues related to order mismatches, duplicate records, interface errors, or missing images/reports.
• Support complex workflows including multi-modality exams, merged studies, outside image imports, and STAT/urgent cases.
System Maintenance & Optimization
• Maintain every scheduled appointments account in RIS and PACS resolving duplicates, merging studies and resolving Radiologist dictation concerns.
• Identify workflow inefficiencies or system issues and collaborate with IT, and leadership to implement improvements.
• Assist with system upgrades, testing, and implementation of new imaging technologies, interfaces, or EMR enhancements while maintaining system documentation, downtime procedures, and data recovery processes.
Training & User Support
• Provide training and ongoing support to all radiology staff (including new/onboarding), technologists, providers, and front-end users on RIS, PACS, and EMR imaging workflows.
Communication & Coordination
• Coordinate with Radiology, IT, Clinical Teams, Scheduling, and vendors to support imaging operations and resolve system-related issues.
• Support urgent and high-priority imaging needs by ensuring rapid coordination across RIS, PACS, and EMR systems.
Quality & Compliance
• Ensure compliance with organizational policies, regulatory requirements, and documentation standards; monitor scheduling accuracy and assist with process improvement initiatives.

Education and Experience
Minimum Required Education: High School Diploma or GED required
Required Experience: Five years of imaging experience is required. Three years' PACS or RIS superuser experience in Imaging required.
Certificates, Licenses, Registrations: PACS/EMR certification is preferred.
