HueDx

Philadelphia, PA

Part-time

Job description

About Us
HueDx is building a next-generation diagnostic platform that transforms traditional tests into quantitative, smartphone-based solutions. We work at the intersection of diagnostics, software, and real-world usability, helping partners bring better testing to market faster.
We're a small, fast-moving team. This role is critical to keeping operations running smoothly as we scale.
The Role
We're looking for a highly organized, proactive Technical Operations Coordinator to support day-to-day operations across sourcing, logistics, vendor management, and customer coordination.
This person will take ownership of many of the time-consuming, detail-heavy operational tasks that are currently handled by leadership. You'll work closely with the CEO and internal teams to ensure that orders, vendors, timelines, and communications stay on track.
This is a hands-on, execution-focused role for someone who thrives in a startup environment and enjoys bringing structure to complexity. This role is part time, 10-20 hours per week, with the potential for more in the future.
Key Responsibilities
Procurement & Sourcing
  • Own R&D and operational purchasing (materials, components, lab supplies)
  • Source vendors domestically and internationally
  • Request and compare quotes, track pricing, and manage purchase orders
  • Maintain relationships with suppliers and follow up on timelines

Logistics & Shipping
  • Manage incoming and outgoing shipments (UPS, FedEx, freight, etc.)
  • Track packages, resolve delays, and handle customs/import issues
  • Ensure proper handling of temperature-sensitive or time-sensitive materials
  • Maintain shipment records and documentation

Vendor & Manufacturing Coordination
  • Act as point of contact for vendors and manufacturing partners
  • Track production timelines and flag risks early
  • Ensure orders, specs, and deliverables are aligned

Customer & Partner Communication
  • Professionally communicate with customers and partners regarding orders, timelines, and updates
  • Help coordinate contracts, quotes, and follow-ups
  • Ensure a high-quality, responsive experience

Operations & Project Coordination
  • Track key timelines, deliverables, and dependencies across projects
  • Follow up with internal team members to keep things moving
  • Maintain internal trackers and dashboards (inventory, orders, timelines)

Budget Tracking & Administrative Support
  • Track expenses related to vendors, purchasing, and logistics
  • Maintain organized spreadsheets for budgets and operational tracking
  • Assist with basic financial organization (invoices, receipts, reconciliation support)

Quality & Documentation
  • Maintain organized records of orders, vendors, and materials
  • Support basic quality processes (documentation, traceability, consistency checks)
  • Ensure operational processes are documented and repeatable

What We're Looking For
  • 2-5+ years of experience in operations, supply chain, project coordination, or similar
  • Strong organizational skills and attention to detail
  • Comfortable managing multiple workflows at once
  • Experience with vendor coordination and/or sourcing (international preferred)
  • Proficiency in Excel or Google Sheets
  • Strong written and verbal communication skills
  • Ability to work independently and take ownership of tasks
  • Comfortable in a fast-paced, evolving startup environment

Nice to Have
  • Experience in biotech, diagnostics, manufacturing, or hardware startups
  • Familiarity with shipping logistics, customs, or import/export processes
  • Exposure to quality systems or regulated environments
  • Experience supporting customer or partner communications
  • Experience working with contracts or purchase agreements

Why This Role Matters
This role is central to keeping the company running efficiently. You'll directly impact our ability to execute, deliver to customers, and scale operations.
Compensation
  • Competitive hourly rate
  • Opportunity for growth as the company scales
  • Potential for expanded responsibilities over time
