Overview
TUSTIN TOYOTA is looking for Energetic Office Manager professional who doesn't mind wearing multiple hats. Experienced in handling a wide range of administrative tasks and able to work independently with little or no supervision. Well Organized, flexible and enjoy the administrative challenges of supporting all departments.
The ideal candidate has at least 3+ years' experience as a Office Manager in the Automotive Industry or equivalent combination of education and experience. He or she must be detail-oriented and good with numbers and proficient with accounting software and Microsoft Office applications (Word, Excel, and Outlook).

Responsibilities
  • Develop organizational procedures and systems for office personnel, including filing, billing, accounting, and scheduling.
  • Point Person for maintenance, , mailing, supplies, errands, bills.
  • Reconciliations of schedules, including but not limited to cash, credit cards, accounts receivable, vehicle receivable, contracts in transit, sublet, etc.
  • Manage relationships with vendors and service providers ensuring invoices are paid timely.
  • Allocate available resources and enable successful task performance.
  • Coordinate office staff activities to ensure maximum efficiency.
  • Responsible for all factory incentives, submission, and payments.
  • Ensure security, integrity, and confidentiality of data.
  • Analyze and monitor internal processes.
  • Organize and schedule meetings and appointments.
  • Coordinate with IT department.
  • Allocate tasks and assignments to subordinates and monitor performance.
  • Perform review and analysis of special projects and keep management informed.
  • Ensure top performance of office staff by providing them adequate coaching and guidance.
  • Other duties as assigned.

Qualifications
  • 3+ years of Office Manager experience or equivalent combination of education and experience in the Automotive industry.
  • Must have the ability to communicate with a good attitude and with a strong attention to teamwork.
  • Must have STRONG Organizational and planning skills.
  • Ability to analyze, assess, problem solver and execute decisions.
  • Must have good time management.
  • Must have the ability to supervise, delegate and coach their team.
  • Must have a strong initiative with integrity and adaptability.
  • Ability to provide process improvement.
  • Must have a strong attention to detail with accuracy.
  • Knowledge of human resources management practices and procedures.
  • Proficiency in Microsoft Office suite (Excel and Word).
  • Experience with all aspects of business office duties including accounting, data and administrative practices and procedures.
  • Advanced computer skills.
  • Excellent written and verbal communication skills.
  • Ability to work in a fast-paced environment.
