Job Responsibilities:
This position provides support to Home-School Monitoring and Residency Verification Services and Front Desk Receptionist.
Homeschool Documentation Processing
• Review and process Letters of Intent (LOIs) and related homeschool documentation in myOneFlow.
• Maintain and update student records and tracking logs.
• Verify information for accuracy and notify staff when required documents are available for review.
• Ensure timely processing and compliance with program requirements.
• Support documentation, retention, and data management requirements.
Mailbox and Family Support
• Monitor the homeschool mailbox submissions and correspondence.
• Assist families with myOneFlow account setup and submission procedures
• Communicate with district liaisons regarding documentation and account requirements.
• Maintain records of communications and actions taken.
Administrative Support
• Perform data entry, maintain spreadsheets and tracking systems, and respond to routine inquiries
from parents, staff, and district representatives.
• Provide general clerical support and complete other assigned administrative duties.
Program and Budget Support
• Support the administration of Residency Verification and Home-Schooling programs.
• Coordinate with program staff to ensure participating districts are established and current.
• Correspond with districts, vendors, and service providers as needed.
• Monitor budgets, track available funds, verify billing memos, and process budget amendments and
transfers.
• Create and manage purchase orders and blanket purchase orders.
• Update service directory information and maintain program records.
• Assist with student count updates, supply ordering, and other program support activities.
Front Desk Receptionist
• Performs front desk reception desk duties including building security, visitor screening and telephone
response. Including providing backup to Building A and C main receptionist for lunch breaks and for
PTO days.
• Other duties may be assigned that are relevant to the civil service job description for this title.
Civil Service Title Clerk Typist (NY HELPS) Job Qualifications
Minimum Civil Service Qualifications:
There is no civil service examination required for this position for the duration of the NY HELPS Program. Candidates must meet the minimum civil service qualifications for a NY HELPS appointment as follows:
A) Graduation from high school or possession of a high school equivalency diploma including or supplemented by a course in typing.
Additional Qualifications:
  • Clerical, administrative, or data-entry experience.
  • Experience using computer applications and electronic record systems.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office, especially Excel, Outlook, and Word.
  • Ability to manage multiple priorities and meet deadlines.
  • Effective communication and customer service skills.
  • Ability to maintain confidentiality and learn new data management systems.
Preferred Qualifications:
  • Certificate in Office Technology, Administrative Assistant or related field.
  • Experience working in an educational setting.
  • Familiarity with homeschool regulations, processes, or student information systems.
  • Experience managing electronic documents and databases.
