Job description

Position:   Human Resources Administrative Assistant

Qualifications:

  1. Minimum qualifications include a high school diploma or equivalent. Prior experience in an office setting or in Human Resources is preferred.
  2. Must be able to type at an acceptable rate with good grammatical structure
  3. Must be able to communicate positively, effectively, cooperatively, and courteously with students, patrons, faculty and staff
  4. Proficient in Microsoft Office programs, including Word, Excel and Publisher
  5. Proficient in Google Suite: Chrome, documents, sheets and slides
  6. Must be able to maintain confidentiality in all matters
  7. Display excellent communication (verbal and written) and organizational skills
  8. Ability to produce documents accurately and efficiently
  9. Must be organized, neat and able to maintain and adhere to a schedule of time-sensitive matters

General Summary: 

This position provides assistance to many departments within the District Office. Department deadlines require specific job functions to be performed by this position. These functions must be performed within the deadline parameters while carrying out normal job responsibilities. In addition, this position must be available to cover some District Office positions as needed; thus, it is essential to have a broad knowledge base of all departments.

Performance Responsibilities:                   

  1. Greet, assist and direct all visitors of the District Office in a courteous and professional manner
  2. Obtain, organize and maintain payroll related personnel records to include background checks and fingerprints, tax paperwork, employment eligibility forms, and other benefit deductions as they apply.
  3. Assist with processing documentation related to years of work experience.
  4. Complete employment verifications for former staff members
  5. Assist with management of Frontline Time & Attendance
  6. Assist with management of School Dude
  7. Assist other District Office personnel with needed tasks, including filing (both paper and digital), typing, scanning, gathering, compilation, and general correspondence
  8. Follow up with new staff members regarding onboarding status
  9. Act as a backup for the District Office Coordinator when needed
  10. Perform other duties as assigned by the supervisor

Type of Position: Hourly

Salary Schedule: Human Resource Administrative Assistant ($42,000 to $49,500, annually based on qualifications and experience)
