About the Role
Skin Medic is a busy, reputable medspa known for results and exceptional client experiences. We are looking for an experienced medspa coordinator to be the connective force that helps the business run smoothly while keeping clients engaged, and the brand experience elevated.

This role is highly visible, client-facing, and ideal for someone who thrives on energy, connection, and organization. Medspa experience is preferred, but not required.


Responsibilities

  • Support daily operations and practice flow

  • Serve as a front-facing, client experience leader

  • Follow up with leads and inquiries to convert to consultation (high priority)

  • Conduct client follow-up and outreach, ensuring a client satisfaction and high rebooking rates

  • Conduct front desk / receptionist duties such as answering phones, coordinating scheduling, check-in and check-out processes, payment processing, and proper documentation

  • Support providers by performing tasks such as turning treatment rooms between procedures, ensuring facility is in flawless condition for patient exposure, stocking inventory and prepping for procedures, and alerting providers to changes in schedule and updated client communications

  • Ensure an exceptional, polished client experience, always

  • Support operational organization and brand presence

  • Manage inventory levels and ordering

  • Assist with the development of social media content (filming, scheduling), as applicable

  • Other administrative duties as assigned by ownership


Ideal Background & Key Characteristics

  • Medspa or spa experience is preferred, but not required

  • Confident, personable, calm, and professional demeanor

  • Able to multi-task with composure

  • Adherence to client privacy and discretion

  • Proficient with software, Google Drive, Excel, Word, etc.

  • Passion for aesthetics, wellness, and client experience

  • Comfortable being highly visible and client-facing

  • Highly organized, adaptable, and emotionally intelligent

  • Knowledge of HIPAA compliance regulations
