Job description

The Medical Front Office Receptionist plays a crucial role in managing and coordinating patient appointments within a busy healthcare environment. This position oversees a front office team of 4-7 staff members, ensuring efficient scheduling and seamless communication between patients, clinical staff, and providers. Reporting to the Office Manager, the receptionist is responsible for maintaining accuracy in electronic medical records, handling insurance-related scheduling matters, and supporting daily operations through effective collaboration and team leadership.

Responsibilities

  • Lead and mentor front office scheduling staff
  • Manage and coordinate complex provider schedules
  • Schedule patient visits, follow-ups, and urgent appointments
  • Handle incoming calls and appointment requests
  • Manage schedule adjustments, conflicts, waitlists, and no-shows
  • Support insurance-related scheduling requirements such as referrals and authorizations
  • Collaborate with clinical staff and providers to optimize daily operations
  • Train and support new scheduling staff through ongoing regular training
  • Maintain accuracy within the Electronic Medical Records (EMR) system
