Job description

Mail Room Coordinator - Temporary
The Mail Room Coordinator is responsible for coordinating and tracking Mail Room activities and incoming/outgoing mailing job data. Responsibilities include inventory reporting and vendor support, as well as ownership of the department's intranet site maintenance and coordination of project request forms. The position supports large, complex and special mailing and scanning requests and provides general support and back-up for all mail room functions.
This is a temporary position lasting approximately 9 months and is fully onsite in Downtown Portland.
Estimated Hiring Range:
$23.28 - $28.45
Bonus Target:
Bonus - SIP Target, 5% Annual

Essential Responsibilities
* Track and report the inventory of incoming and outgoing Mail Room jobs on a regularly scheduled basis.
* Uncover the reasons for any mailing errors that occur and suggest solutions.
* Seek opportunities for improvements in Mail Room operational efficiency.
* Maintain and update the Mail Room intranet site as needed.
* Maintain and update outgoing mail intake request process as needed.
* Maintain compliance with document storage, retrieval, and inventory requirements
* Assist with development and implementation of effective Mail Room policies and procedures.
* Work collaboratively with other CareOregon departments and business partners to retrieve and distribute mail as needed.
* Work collaboratively with vendors to gather requirements and implementation as needed.
* Assist with vendor inquiries related to Mail Room activities.
* Maintain and update supplies intake request process as needed.
* Assist with periodic and special scanning and bulk mailings as needed.
* Provide backup coverage to Mail Room staff as needed.
* Perform other duties and projects as assigned.

Experience and/or Education
Required
* Minimum 2 years' experience in mailroom and/or scanning operations roles
Preferred:
Experience scanning documents
MS 365 exp
Experience operating printers and copiers in professional setting.
