We are seeking a Tax Administrative Associate to join our team in Virginia Beach, VA!
An Administrative Associate is responsible to Partners, Directors, and Office Administrators. An Administrative Associate is charged with providing clerical support by using administrative systems, procedures, and policies, and monitoring and completing various administrative projects.
What your day looks like:
  • Manages multi-line telephone by answering phones, giving information to callers, taking messages, and transferring calls to appropriate individuals.
  • Greets visitors by serving as a first point of client contact in-person and via phone.
  • Operates office equipment, such as fax machines, copiers, scanners, binding equipment or phone systems. Arranges for repairs when equipment malfunctions.
  • Assist with coordinating meetings including room scheduling, technical resources, and catering.
  • Provides reception and office services support, such as mail, file, supply orders, and stocking kitchens as needed.
  • Aids in maintaining the professional appearance of conference rooms and common areas.
  • Processes, e-files, and sends tax returns to clients.
  • Receives and sends correspondence by mail, e-mail, client portals and fax.
  • Assists with expense report submissions.
  • Enters new client setup information into time and billing system.
  • Prepares daily cash receipt deposits.
  • Works sufficient hours in order to complete projects assigned.
What you need for this role:
  • High School Diploma, GED, or equivalent.
  • Bachelor's degree in Business Administration preferred.
  • 3+ years of administrative experience in a professional service firm.
  • Intermediate to advanced level Microsoft Office Suite experience.
  • Displays superior verbal and written communication skills, including advanced knowledge of current grammar and punctuation standards.
  • Capable of working and communicating effectively with professionals at all levels.
  • Ability to work in a deadline-driven environment and handle multiple projects/tasks with an attention to detail.
  • Ability to successfully multi-task while working independently or in coordination with other administrative or management professionals.
  • Ability to effectively utilize multi-line telephone system.
  • Though largely a sedentary role, requires the ability to bend, lift, or stand as necessary.
