Job description

Worthington Enterprises is looking for an Administrative Assistant to join our Chilton manufacturing team. The Administrative Assistant provides direct administrative support to the Operations Manager and plant leadership team. This position plays an important role in organizing leadership activities, preparing communications and reports, coordinating meetings, tracking follow-up actions, planning plantwide events, and supporting other plant priorities. The Administrative Assistant also serves as the primary point of contact at the plant's front desk, greeting visitors, answering incoming calls, and supporting general front office activities.

The ideal candidate is organized, dependable, detail-oriented, and able to manage multiple priorities in a fast-paced manufacturing environment. This position requires strong judgment, initiative, follow-through, professionalism, and the ability to maintain confidentiality.

Responsibilities:

  • Provides direct administrative support to the Operations Manager and plant leadership team. Manages calendars, appointments, meeting schedules, conference calls, Microsoft Teams meetings, and other leadership coordination needs. Supports plant leadership meetings by preparing agendas and materials, coordinating logistics, taking notes, distributing recaps, and tracking action items through completion.
  • Prepares, proofreads, formats, and distributes business correspondence, reports, presentations, spreadsheets, meeting materials, and other internal and external communications. Supports weekly, monthly, and other recurring plant reporting by gathering information, preparing materials, and tracking deadlines. Prepares and distributes employee communications, plant announcements, digital signage, and other plantwide messaging. Coordinates miscellaneous plant and leadership projects by organizing information, tracking activities, following up with responsible parties, and communicating progress.
  • Plans and executes plant meetings, employee recognition activities, service awards, plant dinners, holiday events, company picnics, community and charitable activities, plant tours, and other special events. Develops event plans and timelines, coordinates vendors and logistics, tracks expenses, and ensures activities are completed within approved budgets. Makes approved purchases, processes expense reports and invoices, reconciles purchasing card transactions, supports vendor setup, and maintains accurate purchasing records. Coordinates travel arrangements as needed. Orders and maintains office supplies, employee recognition items, service awards, and other administrative materials.
  • Serves as the primary point of contact at the plant's front desk. Greets customers, candidates, vendors, and other visitors in a professional and welcoming manner. Answers and routes incoming telephone calls and accepts overflow calls from the call center. Manages mail, deliveries, general correspondence, and other front office activities. Maintains the organization and professional appearance of the front office and plant conference rooms, coordinating with employees and support resources to ensure rooms are cleaned, stocked, and ready for use.
  • Handles confidential employee, business, leadership, and plant information with appropriate discretion. Identifies opportunities to improve administrative processes, communication, organization, and office practices. Performs other duties and provides additional plant support as assigned.

  • Minimum of one to three years of administrative, executive support, office coordination, or related experience.

Schedule:

This position primarily works first shift. Occasional early morning, evening, or weekend support may be required for plantwide events, employee functions, company picnics, holiday events, dinners, or other special activities.
