Position: Accounting & Invoicing Assistant

Job Summary
Hands on QuickBooks experience is mandatory. This position is primarily focused on invoicing, ensuring accuracy, timeliness, and smooth processing of customer orders. In addition to invoicing, the role includes coordinating with clients, warehouses, brokers, and internal staff to facilitate efficient order management, storage coordination, and organized workflow execution.

Key Responsibilities

Primary Responsibility โ€“ Customers Invoicing using QuickBooks

  • Creating Customers Invoices in QuickBooks
  • Prepare, pickup sheets verify, and issue invoices with accuracy and attention to detail.
  • Maintain up-to-date invoice records on outstanding Invoices and maintaining accurate billing records.
  • Managing account receivable (A/R ) Ensure timely distribution of invoices to customers.
  • Communicate with customers, brokers, and internal teams to resolve any invoicing discrepancies.

Secondary Responsibilities โ€“ Coordination & Support

  • Coordinate with clients, brokers, and warehouse/storage teams regarding orders, product availability, and required documentation.
  • Communicate with warehouse employees to ensure efficient order picking, organization, and timely dispatch.
  • Assist in organizing order schedules to optimize workflow and reduce delays.
  • Collaborate with internal departments to track order progress and ensure accurate data entry.
  • Provide general administrative support related to logistics and customer communication.

Qualifications

  • College graduate or currently pursuing a college degree in Accounting, Business, or a related field.
  • Basic knowledge of billing or accounting processes preferred.

Skills

  • Expertise in QuickBooks (mandatory).
  • Strong Excel skills (spreadsheets, formulas, basic analysis)
