Invoice & Billing Specialist

Location: Lake Forest, CA

Schedule: Hybrid Schedule (Mondays & Fridays work from home)

Employment Type: Direct Hire / Permanent

Pay: $23.00–$26.00 per hour

About the Opportunity

A growing technology company is seeking a motivated, detail-oriented Invoice & Billing Specialist to join its Accounting team. This is an excellent opportunity for someone early in their career who enjoys solving problems, collaborating across departments, and building a strong foundation in accounting and billing.

This position focuses on reviewing invoices, identifying and resolving discrepancies, and ensuring customer invoices are processed accurately and on time. The ideal candidate is patient, organized, and comfortable following up with multiple internal teams to gather information and resolve billing issues.

Responsibilities

  • Review, prepare, and process customer invoices for products, services, installations, and subscription renewals.
  • Compile invoices with supporting documentation for customer submission.
  • Submit invoices through customer portals and via email when applicable.
  • Maintain billing records, invoice trackers, and shared documentation.
  • Monitor and manage the billing inbox.
  • Apply customer prepayments and ensure accurate invoice balances.
  • Respond to customer requests for invoice copies and billing inquiries.
  • Investigate and resolve invoice discrepancies by collaborating with internal departments.
  • Resubmit corrected invoices as needed.
  • Support billing audits and maintain organized invoice archives.
  • Assist with additional invoicing and accounting projects as assigned.
  • Identify opportunities to improve billing processes and efficiency.
  • Cross-train on other accounting functions as needed.

Qualifications

  • Associate's degree (AA) in Accounting, Business, or a related field, or currently working toward a degree.
  • Bachelor's degree in Accounting or Finance is a plus.
  • Previous billing, invoicing, accounting, or administrative experience is preferred but not required.
  • Understanding of basic accounting principles and GAAP is a plus.
  • Strong Microsoft Office skills, particularly Excel.
  • Excellent attention to detail and organizational skills.
  • Strong written and verbal communication skills.
  • Comfortable learning new software and navigating billing portals.
  • Ability to work collaboratively with multiple departments to resolve issues.
  • Positive attitude with a willingness to learn and grow.
