Job Summary

The Technology PMO Intake Coordinator designs, implements, and manages the enterprise technology intake process for a large organization. This role is the primary entry point for new technology requests, including software, systems, applications, tools, and technology-enabled initiatives.

In addition to intake and governance responsibilities, the role manages assigned technology projects as a PMO Project Manager, based on capacity and organizational priorities. The position bridges demand management, governance readiness, and delivery execution to ensure technology initiatives are well-defined, appropriately assessed, and successfully delivered.

Key Responsibilities

  • Technology Intake Process Ownership
    • Design, document, implement, and continuously improve enterprise-wide technology intake processes
    • Define intake standards, request categories, required inputs, workflows, and decision checkpoints
    • Establish scalable handoffs and service-level expectations across PMO, IT, and governance teams
    • Working knowledge of estimating, documenting, tracking, and reporting ROI, business value, and budget (including costs, funding, and financial impacts) for technology intakes and managed projects, with visibility through governance review, approval, and deliver
  • Technology Request Intake & Triage
    • Serve as the primary intake coordinator and first point of contact for technology requests
    • Ensuring requests are complete, properly categorized, and aligned with intake standards
    • Track requests through review, approval, deferral, or rejection
    • Working knowledge of estimating, documenting, tracking, and reporting ROI, business value, and budget (including costs, funding, and financial impacts) for technology intakes and managed projects, with visibility through governance review, approval, and deliver
  • Technology Screening & Assessment Enablement
    • Help define screening criteria and determine which requests require formal assessment
    • Support early evaluation of software, SaaS, systems, applications, and technology services
    • Trigger appropriate architecture, security, data, compliance, and financial assessments
    • Distinguish between low-risk tools and enterprise-impacting solutions
  • Governance, Standards & Alignment
    • Partner with Architecture, Security, Engineering, Data, Finance, Procurement, Legal, and Infrastructure teams
    • Prepare intake summaries and documentation for governance forums and review boards
    • Ensure intake decisions, approvals, and rationales are documented, traceable, and auditable
  • PMO Project Management
    • Manage assigned technology projects using PMO standards and methodologies
    • Define project scope, objectives, requirements, timelines, and success criteria
    • Lead execution activities including status reporting, risk and issue management, and stakeholder communication
    • Maintain project artifacts and reporting in PMO tools, including JIRA
    • Support project closeout and lessons learned
  • Tracking, Reporting & Communication
    • Use JIRA to track intake requests, projects, tasks, and related metrics
    • Associate work to epics, initiatives, and portfolios per PMO standards
    • Support intake, project, and portfolio reporting for PMO and leadership audiences
  • Stakeholder Collaboration & Enablement
    • Collaborate with business leaders, requestors, and IT partners to clarify needs and expectations
    • Facilitate intake discussions, prioritization conversations, and project touchpoints
    • Communicate status, risks, decisions, and next steps clearly and professionally
    • Develop and maintain process documentation, job aids, and guidance materials

Qualifications

  • Bachelor’s degree in business, Information Systems, Technology Management, Project Management, or related field (or equivalent experience)
  • 3-6 years of experience in technology PMO, intake/demand management, IT operations, project management, or governance support. The experience should support a solid understanding of project management fundamentals (scope, schedule, risk, communication)
  • Working knowledge of creating, maintaining, and completing project documentation that aligns with public company SOX compliance, audit requirements, and project governance standards, including appropriate controls, approvals, and audit readiness
  • Experience working in a structured enterprise IT environment
  • Working proficiency with JIRA for intake, tracking, or project coordination
  • Foundational knowledge of software, SaaS, systems, integrations, and technology platforms
  • Ability to manage multiple initiatives simultaneously and escalate risks appropriately

Base salary: $80k-$100k per year. 

Notes: Actual compensation will be based on skills, experience, and work location, and may vary from the posted range. Hiring bonuses (and any guaranteed year-end bonuses) are administered under Company policy and are not earned until all stated conditions are met (e.g., active employment on the payment date).
