Job Title: Sales AdministratorJob Description

This role offers an opportunity for a highly organized and detail-oriented Sales Administrator to support both sales and engineering teams in a fast-paced, team-oriented environment. The position plays a critical role in preparing estimates, generating sales reports, coordinating internal processes, and supporting both inside and outside sales activities. The successful candidate will use strong Excel skills, estimating and costing experience, and mechanical aptitude to understand products, processes, and customer requirements while working cross-functionally with sales, engineering, and customers.

Responsibilities
  • Prepare and manage estimates, quotations, and costing information to support sales opportunities and customer proposals.
  • Generate and maintain reports and data analyses using advanced Microsoft Excel functions to provide accurate and timely information to the sales and engineering teams.
  • Create sales-related reports and presentations for customer meetings and internal reviews, ensuring information is clear, accurate, and visually organized.
  • Provide comprehensive administrative support to inside sales, outside sales, and engineering teams, helping them stay organized and focused on core activities.
  • Coordinate the flow of information between departments to ensure timely and accurate responses to customer needs and internal requests.
  • Maintain organized records, documentation, and sales data, ensuring information is complete, up to date, and easily retrievable.
  • Assist with sales process improvement initiatives by contributing to reporting requirements and identifying opportunities to streamline workflows.
  • Support customer account activities by tracking requests, following up as needed, and ensuring a high level of customer service.
  • Collaborate closely with team members to ensure projects and sales activities remain on schedule and aligned with customer expectations.
  • Use strong customer service, account management, and sales administration skills to support the overall effectiveness of the sales function.
  • Utilize Microsoft Office applications, particularly Excel, to manage data, prepare documentation, and support daily administrative tasks.
Essential Skills
  • Previous experience in a Sales Administrator, Sales Support, Estimating, or similar role.
  • Proven estimating and costing experience, including preparation of quotations and cost analyses.
  • Advanced Microsoft Excel skills, including reporting, data analysis, and use of advanced functions.
  • Mechanical aptitude or experience working in a manufacturing, engineering, or technical environment.
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Excellent interpersonal and communication skills for effective collaboration with sales, engineering, and customers.
  • Ability to work effectively in a team-oriented environment and contribute to cross-functional initiatives.
  • High attention to detail with strong problem-solving abilities.
  • Proficiency with Microsoft Office and general administration tools to support sales operations.

Work Environment

This position is fully onsite and requires regular in-person collaboration with internal teams. The Sales Administrator works closely with the inside sales team, two outside sales representatives, and four engineering team members, and reports directly to the Vice President of Sales. The environment is fast-paced and team-oriented, with frequent cross-functional communication and coordination. Daily work involves extensive use of Microsoft Excel and other Microsoft Office applications, as well as interaction with manufacturing, engineering, or technical processes and documentation.

This is a Contract to Hire position based out of Portland, OR.

Pay and Benefits

The pay range for this position is $28.00 - $30.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
