Job description

HR Administrator

The HR Administrator reports directly to the President and provides administrative and operational support for the organization's Human Resources functions. This position is responsible for supporting day-to-day HR activities, with a primary focus on onboarding, employee records, HR compliance, employee relations support, and payroll administration. Payroll and other related responsibilities require the HR Administrator to work closely with Detex Accounting. The role serves as a resource for employees and managers regarding routine HR questions and processes, maintains accurate and confidential personnel records, assists with employee relations matters and investigations, and helps ensure HR practices are consistently administered. Work location is on site at Detex offices.

Essential Job Functions Include But Are Not Limited To:

  • Coordinate and execute the administrative aspects of the new hire onboarding process, including offer letters, background checks, required employment documentation, orientation, and new hire paperwork.
  • Maintain accurate, complete, and confidential employee personnel files and records, including information maintained in systems including Paycom.
  • Oversee employee relations matters by documenting concerns, gathering information, coordinating meetings, maintaining investigation documentation, and escalating matters to the President or appropriate management personnel as needed.
  • Provide timely and professional responses to routine employee questions regarding HR policies, onboarding, payroll, benefits, timekeeping, attendance, 401(k), compensation, and other HR-related processes.
  • Maintain and update employee handbook and HR related SOP's insuring compliance.
  • Oversee employee healthcare benefits programs, including annual plan review and renewal processes; evaluate coverage options and costs, communicate benefit changes, educate employees on available plans, and provide comprehensive support through open enrollment, wellness screenings, and ongoing benefits-related inquiries.
  • Assist with HR compliance activities, facilitate employee training, development and awareness related to topics sensitive to HR, along with required employment notices, documentation, audits, reporting, and recordkeeping.
  • Maintain documentation, communicate with employees, and escalate complex matters to the President or appropriate manager to best support the administration of leaves of absence, workers' compensation matters, accommodations, and other employee leave-related processes.
  • Review payroll-related information for accuracy and identify discrepancies; coordinate with management and payroll providers to resolve discrepancies in a timely manner.
  • Serve as the primary backup for payroll administration, maintaining proficiency in payroll systems, procedures, deadlines, and controls to ensure uninterrupted and timely payroll processing during the primary payroll administrator's absence.
  • Coordinate with management, finance, and payroll personnel to ensure employee compensation, deductions, timekeeping, and other payroll-related information is accurate and processed timely.
  • Assist with employee status changes, including promotions, transfers, pay changes, department changes, leaves, and terminations.
  • Support recruitment activities, including posting positions, scheduling interviews, communicating with candidates, coordinating background checks, and completing pre-employment requirements.
  • Maintain a high level of confidentiality, professionalism, and discretion when handling employee information and sensitive HR matters.
  • Follow established procedures and promptly escalate complex, sensitive, or potentially legal matters to the President or appropriate management representative.
  • Performs other duties as assigned.

Qualifications:

  • High school diploma or equivalent required and experience in manufacturing industry preferred. Prior experience in an administrative, clerical, payroll, or Human Resources support role preferred.
  • Strong organizational, administrative, and recordkeeping skills.
  • Basic knowledge of Human Resources practices, employment documentation, and workplace policies.
  • Ability to maintain accurate records and manage multiple tasks and deadlines.
  • Strong attention to detail and follow-through.
  • Proficiency in Microsoft Office, including Word, Excel, and Outlook.
  • Experience with Paycom is highly desired.
  • Ability to communicate professionally and effectively with employees, managers, and external parties.
  • Ability to manage confidential and sensitive information with discretion.
  • Ability to work independently and discern escalation tasks that need to be reviewed by management.
  • Strong customer service and interpersonal skills.
  • Ability to learn and effectively use HR, payroll, scheduling, and other administrative systems.

Physical Requirements:

  • Sit for prolonged periods at a time.
  • Use a computer and stare at a monitor for prolonged periods at a time.
  • Walk around through manufacturing environment in safety equipment as needed.
  • Carry at least 20 lbs. of supplies, equipment, etc. as needed.
