The Opportunity

We're seeking an HR Coordinator to provide administrative and operational support for Human Resources within a fast-paced retail distribution environment. You'll be responsible for maintaining employee records, processing personnel transactions, supporting onboarding and offboarding activities, auditing HR data for accuracy, managing HR systems, tracking compliance documentation, coordinating employee communications, and assisting with payroll, benefits, leave administration, and reporting.

As a key resource for employees and leaders, you'll ensure HR processes are completed accurately, efficiently, and in compliance with company policies and procedures. You'll play a vital role in creating a positive employee experience and supporting the operational success of our distribution or retail teams.

What You'll Do

HRIS Data Entry & Maintenance

  • Maintain accurate and up-to-date employee records in the HRIS system
  • Process personnel transactions, including new hires, terminations, transfers, promotions, and status changes
  • Enter and verify employee data to ensure accuracy and compliance
  • Audit HR data regularly to identify and resolve discrepancies
  • Support HRIS system upgrades, testing, and process improvements

New Hire Onboarding & Orientation Coordination

  • Coordinate new hire onboarding activities, including offer letters, background checks, drug screens, and pre-employment paperwork
  • Facilitate new hire orientation sessions to welcome employees and introduce them to company policies, benefits, and culture
  • Ensure new hires complete all required documentation and training in a timely manner
  • Partner with managers to ensure a smooth and positive onboarding experience
  • Track onboarding progress and follow up on outstanding items

Offboarding & Employee Separations

  • Process employee terminations and resignations, including exit interviews, final pay calculations, and benefit terminations
  • Coordinate return of company property and access deactivation
  • Ensure compliance with all offboarding procedures and legal requirements
  • Maintain confidentiality and treat departing employees with professionalism and respect

Filing & Records Management

  • Maintain physical and electronic employee files in accordance with company policies and legal requirements
  • Ensure proper retention and disposal of HR records
  • Organize and maintain confidential personnel files with strict attention to detail
  • Support record requests for audits, legal matters, and employee inquiries

Compliance & Audit Support

  • Track and maintain compliance documentation, including I-9 forms, background checks, training records, and certifications
  • Assist with HR audits (internal and external) by preparing documentation and ensuring data accuracy
  • Monitor compliance with federal, state, and local employment laws and company policies
  • Support EEO, affirmative action, and other compliance reporting requirements

Benefits & Leave Administration Support

  • Support benefits administration, including enrollments, changes, and employee inquiries
  • Track and administer leave requests (FMLA, medical, personal, etc.) and ensure proper documentation
  • Coordinate with payroll and benefits vendors to resolve employee issues

Reporting & Administrative Tracking

  • Prepare and distribute HR reports on headcount, turnover, onboarding, compliance, and other metrics
  • Track key HR metrics and provide data to HR leadership for analysis and decision-making
  • Maintain tracking systems for training completion, performance reviews, and other HR processes

Employee Documentation & Correspondence

  • Prepare and distribute employee communications, including letters, memos, and notices
  • Process and respond to employee inquiries regarding HR policies, benefits, and procedures
  • Coordinate HR communications for site-wide announcements, policy updates, and events

General HR Administrative Support

  • Provide administrative support to HR leadership, site managers, and employees
  • Assist with employee engagement initiatives, events, and recognition programs
  • Coordinate HR meetings, training sessions, and employee programs
  • Support special projects and initiatives as assigned


What You Bring

Required Qualifications

Education:

High school diploma or equivalent (Required)

Associate's or Bachelor's degree in Human Resources, Business Administration, or related field (Preferred)

Experience:

2–3 years of HR administrative or coordinator experience (Required)

Experience in a distribution center, manufacturing, or retail environment (Strongly Preferred)

Experience with HRIS systems (Workday, ADP, UltiPro, etc.) (Preferred)

Licenses & Certifications:

SHRM-CP, PHR, or aPHR certification (Preferred, but not required)


Schedule & Work Environment

  • Onsite position in a distribution center or retail location
  • Standard business hours (Monday–Friday, 8:00 AM – 5:00 PM, or as needed)
  • Occasional extended hours during peak periods (onboarding, audits, open enrollment)
  • Fast-paced, high-volume environment with frequent interaction with employees and leaders

Compensation: Hourly Rate = $25.00 - $27.00. Individual compensation packages are based on various factors unique to each candidate, including skill set, experience, qualifications, and other job-related factors.

Profit sharing is available to eligible employees; this discretionary program is dependent on the profitability of the company.
