Job description

Job Description:
The R&D Specification and Graphics Assistant supports product and/or packaging development by managing projects that require updates to existing product specifications (e.g., graphics-only changes, labeling/artwork revisions, and specification maintenance). This role ensures updates are delivered accurately and on time by managing timelines, routing reviews/approvals, maintaining specification integrity, and performing detailed artwork/specification reviews.
Essential Functions & Responsibilities:
  • Coordinate end-to-end execution of assigned specification and graphics-only change projects from request intake through completion (e.g., In-Store Merchandising updates, labeling updates)
  • Track timelines to manage on-time delivery by proactively tracking & communicating project due dates, status, and risks to stakeholders
  • Ensure all documentation is complete, accurate, and properly version-controlled
  • Maintain specification lineage and version history; identify and escalate discrepancies, supporting resolution per established processes
  • Review artwork revisions for accuracy and consistency against approved specifications Track and communicate status, risks, and due dates proactively to appropriate stakeholders
  • Escalation of graphics errors/issues with Graphics management team
  • Update and maintain specifications and related documentation (e.g., material & packaging specs)
  • Add or remove supplier facilities within material specifications as required, ensuring changes are documented and approved per process

Expected Experience and Required Skills:
  • Associate's degree in related technical or scientific field, or high school diploma with 4+ years of experience supporting specification management, data management, or project management systems.
  • Basic computer proficiency, including Microsoft Office (Excel, Word, Outlook) and data entry within laboratory, inventory, or specification systems.
  • Strong organizational skills and attention to detail, with the ability to follow and apply standardized procedures.
  • Demonstrated ability to manage multiple projects simultaneously with firm deadlines
  • Effective verbal and written communication skills, including accurate data recording, reporting, and collaboration with technical and cross-functional teams.
  • Demonstrated ability to work independently and collaboratively in a fast-paced technical environment.

Work Environment and Schedule:
Relocation & Sponsorship: This role is based onsite at the [Kraft Heinz Innovation Center in Glenview, Illinois]. Relocation assistance and work authorization sponsorship are not available for this position.
Work hours: Occasional overtime may be required to support project timelines; however, regular overtime is expected to be minimal.
Onsite & reliable transportation: This is a full-time onsite position at the [Kraft Heinz R&D Innovation Center in Glenview, IL / Heinz Innovation Center in Warrendale, PA]. Reliable attendance and dependable transportation are required. R&D Assistants work on campus Monday through Friday, following a standard daytime schedule to support daily lab operations, sample preparation, equipment setup/readiness, and collaboration with R&D teams. Occasional flexibility may be needed for pilot plant runs or other project-based activities within standard operational hours.

  • Hourly Pay: Starting at $28/hour, with final offer based on experience, skills, and internal equity.

Physical demands include but are not limited to:
  • Work is performed primarily in an office and/or R&D center environment, with routine use of computers, monitors, keyboards, and standard office equipment.
  • Ability to sit for extended periods of time while performing computer-based work, including data entry, specification creation, document review, and system navigation.
  • Frequent use of hands and fingers for fine motor tasks, including typing, data entry, document handling, and use of computer input devices.
  • Ability to visually review detailed information on computer screens and printed documents, including specifications, formulas, and data tables.
  • Ability to communicate effectively in person, via phone, and through electronic communication platforms.
  • Occasional lifting, carrying, or moving of materials such as files, binders, or office supplies.
