Job description

We are seeking a motivated administrative assistant to provide clerical support for our customer service and accounting department.


  • Answer calls to the main line and calls routed through the receptionist
  • Order office/kitchen/lunch room supplies and manage stock of supplies
  • Schedule Incoming Material Deliveries of PO’s
  • Prepare and schedule Fedex Express and Fedex Ground shipments and manage Fedex supplies
  • Scan and file work orders
  • Scan and file sales orders
  • Assist Purchasing with management of PO folders/files
  • Assist Quality Department with receiving of PO’s and contacting vendors with questions or for documentation
  • Assist Operations with ordering shop supplies, parts, etc
  • Assist Cust Svc with outbound shipments when necessary (print paperwork and schedule carriers)
  • Assist Cust Svc with order entry when necessary
  • Assist Accounting with tasks such as payables & billing
  • Provide customers with copies of sales order paperwork when requested

Education and Experience:

  • High school diploma or equivalent preferred
  • Highly organized and able to successfully manage multiple projects at once
  • Strong communication skills

Knowledge/Skills/Competencies: 

  • Knowledge of Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
