Job description

Position Summary: The Operations Assistant supports the work of the Operations Manager. Handles clerical work, answers phones, files, and handles data entry. Coordinates the delivery process, serves as customer service and driver support for answering questions and solving problems related to deliveries. Assists with various aspects of morning processes and assists with routine vehicle maintenance.

Essential Functions:Office Duties:
  • Opens the office and warehouse in the morning.
  • Handles routine clerical work relative to the overall general office operation.
  • Handles morning duties including prerouting.
  • Handles processes or tasks associated with loadout and compliance initiatives.
  • Maintains GEAR and/or other systems/software as needed or directed.
  • Handles daily and/or routine review of GEAR numbers as directed.
  • Answers phones, handles/routes calls.
  • Responsible for delivery dispatch, including monitoring delivery status and instruction of customer delivery app.
  • Responsible for paperwork filing.
  • Assist with invoice processing as directed.
  • Handles data entry.
  • Assists with general office duties which may include, prescreening applicants, scheduling interviews, followingup with employees on paperwork on behalf of Operations Manager.
  • Assists with distributing, tracking uniforms per uniform requirements.
  • Prepares meeting materials, assists with action items followup.
  • Customer Service Duties:
  • Assists with customer and vendor inquiries, resolves or directs as needed.
  • Assists with customer communication process including but not limited to inbound calls, outbound time frame calls, and delivery scheduling.
  • Monitors local office email and communication and directs or resolves as needed.
  • Delivery Coordination Duties:
  • Monitors unscheduled orders and customer communication.
  • Creates daily work order and delivery paperwork.
  • Completes routing process for multiple accounts using and updating multiple systems with delivery information.
  • Creates reports for warehouse and office for route consolidation.
  • Creates delivery manifest and completes delivery packets for drivers ensuring all paperwork is complete and accurate.
  • Facility Maintenance
  • Assists Operations Manager in monitoring facility maintenance, assists with repair requests, followup, etc.
  • Assists with vehicle maintenance scheduling.
  • Parts Inventory
  • Assists with various aspects of parts inventory program.
