REPORTS TO: RECEPTION SUPERVISOR

FLSA: NON-EXEMPT

PURPOSE: TO PROVIDE CLERICAL AND SUPPORT TO PATIENTS AND STAFF

RESPONSIBILITIES:

  • Answers and directs incoming phone calls, creates encounters, or forwards to appropriate department and schedule appointments as needed. Obtain any records that may be required for patient visits.
  • Greet and check patients in/out in a professional manner, register patients, and accurately assure the documentation of required demographic, insurance and financial information is update and accurate. Makes follow up appointments, prints out visit summary, labs, XR or referrals for patients. Prepares work/school notes as required
  • Confirm patient appointments.
  • During inclement weather follows HCHC scheduling and cancellation policy for patient appointments.
  • Track clinical issues, determine pre-estimates, as needed and initiate patient billing.
  • Collection of co-pays, patient balances and collects payment for patient services rendered not covered by insurance companies.
  • Proves cash drawer, prepares deposit and reconciles day sheet.
  • Scans daily schedule, RX pickup log signature sheet and daily reconciliation sheet.
  • Prints next days schedules in case of computer failure.
  • Open and close health centers. Arming/disarming alarm. Checking lights, windows, doors and equipment as needed.
  • Process scanning. Monitor fax inbox in ECW and hard fax. (***Scanning/Fax Inbox applies to medical only***). Processes all incoming/outgoing mail.
  • Verifies same day appointment insurance eligibility.
  • Prepares and mails packets for upcoming visits as required.
  • Begin process for medical record requests.
  • On a provider care team. Attends team meetings. Contacts patients for overdue or missed appointments. All rescheduling for team provider.
  • Pull charts for upcoming appointments, if chart needed (***applies to dental only****).
  • Other duties as assigned.

Work that can be performed from home as necessary:

  • Confirm patient appointments

Requirements:

QUALIFICATIONS:

  • High school diploma or equivalent.
  • Previous experience in a medical/dental office desirable.
  • Computer experience/skills required.
  • Must be well organized and professional.
  • Ability to maintain strict confidentiality of patient information in accordance with HIPAA and HCHC policy required.
