Overview

The Executive Meeting Manager brings strong organizational, operational, and detailing skills to successfully coordinate and execute group business while ensuring an exceptional guest and meeting planner experience. This role is responsible for the detailed execution of all assigned groups and events, ensuring operational alignment, clear communication, and consistent follow-through across all hotel departments.
The Executive Meeting Manager plays a key role in supporting a culture centered around guest satisfaction, accountability, teamwork, and operational excellence. Success in this role requires the ability to manage multiple priorities, communicate effectively across departments, and proactively resolve operational challenges in a fast-paced hotel environment.

Essential Duties and Responsibilities

  • Understand monthly forecasting processes and support departmental revenue and operational goals.
  • Ensure groups meet or exceed contractual revenue expectations while maintaining a high level of service execution and meeting planner satisfaction.
  • Support initiatives to improve meeting planner evaluation scores and overall guest experience.
  • Optimize room rental revenue opportunities while balancing operational feasibility and guest expectations.
  • Build and maintain strong client relationships to support repeat business and long-term partnerships.
  • Participate in industry organizations and networking opportunities when appropriate.
  • Demonstrate strong negotiation, organizational, communication, and client relationship skills.
  • Conduct hotel site inspections and client presentations professionally and confidently.
  • Collaborate closely with culinary and banquet teams to develop creative event experiences while balancing operational execution and profitability.
  • Partner closely with Banquets, Front Office, Housekeeping, Engineering, and other operational departments to ensure successful event execution.
  • Effectively manage banquet event orders and group resumes with a high level of accuracy, detail, and follow-through.
  • Proactively communicate operational changes, updates, special requests, and group needs to all relevant departments.
  • Monitor group room blocks, pickup, VIP arrivals, and event flow to support operational readiness.
  • Work collaboratively with outside vendors to ensure successful event execution and guest satisfaction.
  • Demonstrate the ability to quickly evaluate operational challenges and make sound business decisions in a timely manner.
  • Maintain professionalism and composure while managing multiple priorities, deadlines, and operational demands.
  • Comply with attendance expectations and maintain schedule flexibility based on business demands and event activity.
  • Perform any other job-related duties as assigned.

Qualifications and Skills

Education and Experience

  • Prior hospitality experience with specific experience in catering sales, convention services, or group event management required.
  • Minimum one year of hospitality experience required.
  • Experience working in full-service hotels or high-volume group environments preferred.
  • Experience at a hotel of similar size and complexity preferred.
  • High School Diploma required; Bachelor's Degree preferred.

Knowledge, Skills, and Abilities

  • Strong computer skills including Microsoft Word, Excel, and Delphi or similar sales systems.
  • Understanding of hotel operations and cross-department coordination.
  • Strong organizational skills with the ability to manage multiple groups and operational priorities simultaneously.
  • Ability to communicate effectively with clients, operational leaders, and hotel associates at all levels.
  • Strong problem-solving and decision-making skills.
  • Ability to execute action plans and adapt quickly to operational changes.
  • Ability to work effectively under deadlines and time constraints.
