Job Description:

The Workplace Facilities Manager oversees facility service partners, location strategy, and workplace operations across North and South America. The role is responsible for defining and executing the regional workplace footprint strategy, including site selection, space optimization, and long-term planning aligned with business growth, employee experience, and cost efficiency.

This role ensures workplaces support team productivity and well-being, align with sustainability goals, meet compliance requirements, and scale with company growth. It also includes ongoing management of workplace staff and external facility partners.

Duties and Responsibilities:

Facility Operations

  • Manage daily operations of offices and technical environments.
  • Maintain building systems including HVAC, electrical, plumbing, and access control.
  • Oversee janitorial, security, maintenance, and mailroom services.

Workplace Management

  • Build and manage a team to support all North and South American Facility operations
  • Oversee offices in New York City, Minneapolis, and Costa Rica and other satellite offices (10)
  • Accountable for employee hiring and performance.
  • Ensure workplaces are safe, clean, and properly supplied.
  • Direct office layout changes, space planning, and desk assignment systems.
  • Develop strong relationships and a high level of trust with internal stakeholders to support business objectives, and jointly develop strategic sourcing strategies.

Vendor & Budget Management

  • Manage vendor relationships, contracts, and SLAs.
  • Ensure Vendor performance meets contractual and project requirements.
  • Oversee facilities budgets, forecasting, and cost control.
  • Align location strategy decisions with financial targets, lease obligations, and total cost of occupancy.
  • Ensure procurement aligns with sustainability and compliance policies.

Health, Safety & Compliance

  • Maintain compliance with OSHA, ADA, fire safety, and local regulations.
  • Conduct safety drills, audits, and inspections.

Project & Construction Oversight

  • Lead office buildouts, renovations, and expansions.
  • Collaborate with IT, security, and executive teams on infrastructure needs.
  • Translate location strategy into execution through site launches, redesigns, and footprint changes.

Technology & Innovation

  • Use smart building technologies and CAFM tools to optimize performance.
  • Recommend and implement energy efficiency and sustainability initiatives.

Qualifications:

Education

  • Bachelor's degree in Facilities Management, Engineering, Business, or equivalent experience
  • Certifications such as FMP, CFM, or PMP are a plus.

Experience

  • 5+ years of facilities management, vendor management, project management real estate/location strategy, or facility negotiations experience, ideally in tech, startup, or high-growth environments.
  • Experience developing or supporting portfolio strategy, site selection, or real estate planning strongly preferred.
  • 1 year of experience leading a team or directing others' work.
  • Proficiency using workplace technologies (e.g., IWMS/CAFM systems, badge =access, IoT, AI platforms).
  • Experience managing vendors, budgets, and large-scale projects.

Skills and Abilities:

  • Strong knowledge of building systems and workplace operations.
  • Excellent communication and problem-solving skills.
  • Comfort working in dynamic, high-growth environments.
  • Experience supporting hybrid or remote-first teams.
  • Knowledge of sustainability initiatives (e.g., LEED, WELL standards).
  • Aptitude implementing safety, security, and environmental regulations.

Reporting Structure

Positions that Typically Report to this Position:

  • Facilities staff, Workplace Receptionists and Coordinators, and Office Managers.

Physical Demands

  • Position located in New York City
  • Typical office environment including extended periods of sitting, standing, typing, and video conferencing. Light lifting may be required.
  • 20%+ Travel: Primarily to Minneapolis, and Costa Rica, but could vary depending on other office locations and project needs.

Work Location & Flexibility

This position is based in our New York City office and follows a hybrid work model. Employees in these locations are expected to work on-site a minimum of two days per week. Please note that specific business units or role requirements may necessitate additional in-office days based on team collaboration needs or operational priorities.

The base salary range represents the estimated low and high end for this position based on a good faith assessment of the role and market data at the time of posting. Consistent with applicable law, each candidate's compensation offer may vary and will be determined based on but not limited to, your geographic region, skills, qualifications, and experience along with the requirements of the position. This position may be eligible for bonuses, commissions, or overtime if applicable. Benefits include health insurance (medical, dental, vision), a retirement savings plan, paid time off, and other employee benefits. Specific details will be provided during the interview process. Datasite reserves the right to modify this pay range at any time.

$118,800.00 - $207,200.00
