Job description

Job Summary;

The Customer Care Representative is responsible for ensuring seamless communication and coordination between customers and the internal teams, enhancing customer experience through proactive communication, and providing exceptional customer service. This role requires a detail-oriented and organized individual who can efficiently manage project logistics, act as the primary point of contact for customers, and ensure all customer inquiries and concerns are addressed promptly. The Customer Care Representative will strategically align crews based on material availability, maintain proactive updates with customers, and lead the project to successful completion. This role demands excellent communication skills, strong organizational abilities, and a customer-centric approach to ensure high levels of client satisfaction and project success.

Daily tasks include but not limited to;

·         Act as the primary liaison between customers and internal team members by managing all incoming phone calls, voicemails, and emails

·         Perform daily notes audits to ensure accurate and comprehensive work order documentation

·         Create and maintain accurate customer records

·         Ensure proactive communication for next day work order appointments, and follow up on communications from previous day

·         Coordinate and communicate internal and external inquiries effectively to drive project execution

·         Drive the project forward by efficiently scheduling crews based on material availability across the valley

·         Submit warranty documentation to manufacturers to resolve work orders on behalf of clients

·         Conduct collection calls and take payments over the phone as needed

·         Complete assigned training modules to stay updated with industry best practices and company protocols

·         Perform all duties while providing excellent customer service, ensuring a positive experience for all customers.

Required qualifications;

·         Technical Experience Requirements:

o   1-3 years of experience in project coordination/management, customer service, or business administration

o   Experience in the construction industry or landscaping is preferred 

o   Bachelor’s degree in Business Administration, Project Management, or related field preferred

·         Demonstrate entry-level computer skills, including proficiency in email communication, Microsoft Word & Excel, data entry, and navigating project management software

·         Strong attention to detail and ability to recognize and correct inaccuracies

·         Strong analytical and problem-solving skills, with the ability to quickly resolve customers concerns

·         Excellent verbal and written communication skills, Spanish bilingual is a plus

·         Strong commitment to providing exceptional customer service and the ability to manage customer relationships proactively
