Job description

Summary

The Marketing Executive Administrator / Project Coordinator provides high-level administrative, operational, and project coordination support to Marketing leadership. This role serves as a central point of organization for department initiatives, executive communications, contracts, reporting, and cross-functional coordination, ensuring projects and operational priorities are executed efficiently and accurately.

Duties/Responsibilities

  • Provide direct administrative and operational support to the Chief Marketing Officer, Director of Marketing, and Director of Player Development
  • Coordinate and track Marketing projects, promotions, and events, including key property initiatives (e.g., New Year’s Eve, Super Bowl, Bingo, seasonal promotions, and special events)
  • Maintain and monitor project timelines, deliverables, and follow-ups to ensure timely completion of departmental initiatives
  • Prepare and develop executive-level communications, including emails, reports, presentations, and correspondence
  • Assist in the development of spreadsheets, reports, and data tracking tools to support marketing analysis and decision-making
  • Prepare PowerPoint presentations and reporting materials for leadership review
  • Draft, revise, and manage Marketing contracts and Action Items using approved templates; coordinate with Legal for final review
  • Track contract progress, approvals, and signatures, including Tribal Council approvals
  • Assist in the preparation, submission, and tracking of STGC documentation and approvals
  • Process requisitions within the purchasing system and maintain accurate records
  • Coordinate vendor onboarding, licensing, and renewals
  • Track marketing invoices, advertising contracts, and accruals; partner with Accounts Payable to ensure timely and accurate processing
  • Assist with TCR updates and track all Marketing Action Items
  • Maintain organized files, records, and documentation to support audits and operational needs
  • Record and manage employee payroll documentation in Kronos
  • Order, distribute, and monitor departmental supplies
  • Serve as a liaison between Marketing, Player Development, Finance, Legal, and other departments to ensure clear communication and alignment
  • Maintain confidentiality of proprietary and sensitive information
  • Must be physically present to work a regular, reliable, and predictable work schedule in accordance with business demands, and maintain a consistent and regular attendance record.
  • Perform special projects and other responsibilities, tasks, or duties as requested.


Education / Qualifications

  • Must be 21 years of age or older
  • High School Diploma or equivalent required
  • Associate’s Degree in Business Administration or related field preferred
  • Minimum of 3–5 years of experience in an executive administrative role preferred
  • Prior experience supporting senior leadership strongly preferred
  • Experience in a marketing, casino, or hospitality environment preferred
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) required
  • Experience with systems such as purchasing, payroll, or vendor management platforms preferred
  • Strong analytical, organizational, and time management skills
  • Ability to manage multiple projects and deadlines simultaneously
  • Excellent written and verbal communication skills
  • Must be able to perform basic mathematical calculations and work with spreadsheets
  • Any combination of education, experience, and training that provides the required knowledge, skills, and abilities
  • Must be able to provide evidence of eligibility to work in the United States of America.

Certificates, licenses and registration

  • Ability to obtain and maintain a valid Soboba Tribal Gaming Commission license.
  • Required to submit to and obtain negative results on all drug and/or alcohol testing.
