Job description

WHAT YOU'LL DO

We're looking for a highly organized, proactive, and trusted Sr. Executive Assistant to support Viant's Chief Financial Officer (CFO), EVP of Finance & Accounting, and Chief Legal Officer (CLO). This role is ideal for an experienced executive assistant who thrives in a fast-paced public company environment and excels at managing complex priorities with professionalism, discretion, and exceptional attention to detail.  The successful candidate will anticipate the executives' needs, proactively manage scheduling changes and conflicts, and stay ahead of key follow-ups, deadlines, and deliverables.

As a strategic partner to Finance and Legal leadership, you'll play a critical role in keeping executives organized, prepared, and focused. You'll coordinate executive calendars, Board and committee activities, earnings cycle logistics, and cross-functional initiatives while serving as a trusted liaison across the organization and with external stakeholders.

THE DAY-TO-DAY
  • Provide comprehensive executive support to the CFO, EVP of Finance & Accounting, and Chief Legal Officer, including complex calendar management, travel coordination, meeting planning, expense reporting and coordination with their teams.
  • Coordinate Board of Directors and committee meetings by managing schedules, materials, agendas, logistics, and follow-up activities.
  • Support quarterly earnings cycles by coordinating key meetings, deadlines, executive schedules, and cross-functional communications.
  • Assist with SEC filing calendars and other recurring public company governance activities, ensuring executives remain aligned on critical milestones.
  • Serve as a strategic partner to the Sr. Executive Assistant to the CEO and COO, ensuring effective communication and alignment across executive leadership.
  • Partner closely with Investor Relations, Finance, Legal, Corporate Development and Executive Leadership to coordinate meetings, presentations, and strategic initiatives.
  • Prepare and organize executive correspondence, presentations, reports, meeting materials, and executive briefing documents while maintaining exceptional accuracy and confidentiality.
  • Serve as a trusted point of contact for internal and external stakeholders, exercising sound judgment, professionalism, and exceptional executive presence in all interactions.
  • Anticipate executive needs, proactively identify scheduling conflicts, prioritize competing demands, and drive seamless execution of day-to-day executive support.
GREAT TO HAVE
  • 8+ years of executive assistant experience supporting senior executives, including C-suite leaders in a public company or high-growth technology environment.
  • Experience supporting Finance and Legal executives, including familiarity with Board governance, Audit Committee meetings, and public company operations.
  • Experience coordinating quarterly earnings processes, SEC filing calendars, and Investor Relations activities.
  • Demonstrated ability to manage highly confidential information with discretion, professionalism, and sound judgment.
  • Exceptional organizational, project management, and communication skills with outstanding attention to detail.
  • Advanced proficiency in Microsoft Office, Google Workspace, calendar management, expense reporting systems, and virtual meeting platforms.
  • Proven ability to manage multiple priorities independently while adapting quickly in a fast-paced environment.
  • Bachelor's degree preferred or equivalent combination of education and executive support experience.

Base compensation range: $90,000 - $100,000
In accordance with California law, the range provided is Viant's reasonable estimate of the compensation for this role.  Final title and compensation for the position will be based on several factors including work experience and education.
