Job description

A highly stable and well-established Orange County organization is seeking an experienced Executive Assistant to support a busy Leasing Division within a professional corporate environment.

This is an excellent opportunity for a polished, detail-oriented administrative professional who thrives in a fast-paced, high-volume setting and enjoys working with complex documentation, legal correspondence, and executive-level coordination.

This is not a light administrative role. The ideal candidate will be highly organized, proactive, resourceful, and comfortable managing a constant flow of detailed leasing documentation and executive support responsibilities.

Key Responsibilities

  • Support multiple Leasing Executives with administrative and executive assistant responsibilities
  • Prepare, edit, proofread, and manage detailed leasing documents including:
    • Leases
    • Letters of Intent (LOIs)
    • Addendums
    • Internal correspondence
    • Legal and tenant documentation
  • Manage calendars, meetings, expense reports, and weekly reporting
  • Coordinate document routing and approvals with internal legal teams and executives
  • Track leasing updates and maintain organized documentation/files
  • Serve as liaison between tenants, internal departments, and business partners
  • Coordinate onsite meetings, lunches, and team support activities
  • Assist with PowerPoint presentations, reports, and projects
  • Handle confidential information with professionalism and discretion
