Job description

We are seeking an experienced Executive Assistant to manage the CEO's office, protect the CEO's time, and coordinate executive-level communications and meetings with discretion and precision.

Responsibilities

Calendar & inbox management

  • Manage the CEO's complex calendar, prioritize meetings, and resolve scheduling conflicts to protect the CEO's time
  • Triage the CEO's inbox by prioritizing and flagging messages, drafting or sending authorized responses, and scheduling follow-ups
  • Anticipate scheduling issues and implement proactive solutions to prevent disruptions

Travel & expenses

  • Arrange domestic and international travel itineraries and logistics
  • Prepare and reconcile accurate expense reports and travel documentation

Meetings, materials & follow-up

  • Prepare meeting agendas and assemble required materials
  • Capture action items during meetings and track follow-up to completion
  • Draft, proofread, and format correspondence, reports, presentations, and CEO-facing materials

Confidentiality, records & systems

  • Maintain confidential files, records, and databases and handle sensitive information with discretion
  • Ensure organization and version control for executive documents and records
