Responsibilities
  • Leads the strategy, planning, and execution of key company meetings and events, including the Fall Owners Meeting, Spring Sales Meeting & Tradeshow, Board Meetings, Supplier Conference, and other enterprise events. Partners with leadership to define event objectives, audience needs, and success measures.
  • Develops large-scale, complex event plans aligned with business objectives, including timelines, resource needs, stakeholder responsibilities, and risk mitigation strategies. Anticipates challenges, recommends solutions, and ensures successful execution.
  • Manages the evaluation and selection of event facilities, vendors, and service providers. Leads the RFP process, reviews proposals and contracts, negotiates terms, conducts site evaluations, and provides recommendations to leadership.
  • Develops and manages event budgets in partnership with leadership. Evaluates costs, monitors expenses, manages events within budget parameters, and provides budget reporting and recommendations.
  • Builds and manages relationships as the primary liaison with external partners, including production companies, exhibitors, entertainment providers, hotels, and other vendors to ensure event objectives and service expectations are achieved.
  • Develops and executes event marketing and communication plans to ensure sponsors, attendees, exhibitors, and key stakeholders receive effective and timely information.
  • Partners with internal marketing teams to develop event themes, messaging, branding, and visual concepts that support organizational priorities.
  • Evaluates event effectiveness by analyzing performance metrics, survey results, and stakeholder feedback. Identifies opportunities and recommends improvements for future events.
  • Serves as the primary on-site event liaison with facilities, vendors, and stakeholders. Resolves issues and ensures events are delivered according to established objectives and standards.
  • Oversees event logistics, including registration, attendee communications, meeting materials, room blocks, records management, and event documentation.
Qualifications

Education and/or Experience: Bachelor's degree in Marketing, Communications, or Event Planning is preferred; 4+ years related experience and/or training; or equivalent combination of education and experience.

Job Specific Knowledge, Skills, and Abilities:
  • Proven experience in event and meeting planning, hospitality, marketing, or project management.
  • Experience with large scale corporate events.
  • Experience with current Microsoft Office programs (MS Word, Excel. PowerPoint)
  • Proficiency with event-management software and productivity tools.
  • Strong Project management skills: establishing objectives, timelines, and deadlines; action planning to meet deadlines.
  • Ability to develop and manage budgets.
  • Strong organizational skill, attention to detail, and multitasking based on customer and organization needs.
  • Ability to organize and follow through with complete fulfillment of customer requests.
  • Problem-solving skills: listening to, interpreting, and meeting the needs of others; diagnosing and rectifying problems.
