Insero Talent Solutions is thrilled to partner with a well-established, Rochester-based nonprofit in its search for an Events Manager to join its growing team.

The Events Coordinator/Manager is responsible for delivering an exceptional client experience from the first inquiry through the successful execution of each event, both corporate and personal. This role combines sales, event planning, client service, vendor coordination, and onsite event management to ensure every event runs smoothly while showcasing the unique experience curated by our client.

The ideal candidate is highly organized, customer-focused, proactive, and able to manage multiple priorities while maintaining a calm, professional presence.

Responsibilities:

Client Relations & Sales

  • Respond promptly to event inquiries and schedule appointments.
  • Conduct venue tours and consultations with prospective clients, understanding client needs to recommend appropriate event spaces and services.
  • Prepare proposals, contracts, and event documentation.
  • Guide clients through the booking and planning process and build strong client relationships while maintaining a high level of service.

Event Planning & Coordination

  • Serve as the primary point of contact for assigned events, ensuring planning milestones and deadlines are met.
  • Develop event timelines and coordinate planning meetings.
  • Manage event logistics from booking through completion and maintain accurate event files and planning documentation.

Vendor & Event Management

  • Coordinate with caterers, entertainers, photographers, rental companies, florists, and other vendors.
  • Confirm schedules, logistics, and venue requirements.
  • Oversee event setup and execution to ensure event spaces are properly prepared, including room setup and audiovisual needs.
  • Troubleshoot issues and adjust plans as needed to ensure a seamless guest experience.
  • Maintain a professional, welcoming presence throughout each event.

Venue Operations

  • Help maintain the appearance and readiness of the organization and space before, during, and after events.
  • Monitor event spaces, public areas, lighting, HVAC, and overall venue presentation.

Requirements:

  • 3+ years of experience in event planning, hospitality, venue management, sales, or customer service.
