Job description

Description:

The Event Manager is responsible for the complete operational execution of assigned events at the Joseph A. Floreano Rochester Riverside Convention Center from final pre-event planning through post-event settlement. This role assumes operational control after events are contracted by the Sales team and formally transferred through internal event documentation and Operations leadership.


Essential Duties & Responsibilities


Event Planning & Execution

  • Advance, plan, and supervise all assigned events from load-in through load-out.
  • Review all internal event documentation provided by Sales and Operations.
  • Conduct pre-event operational walkthroughs with clients and internal departments.
  • Coordinate timelines, access schedules, room configurations, and service flow.
  • Serve as Manager on Duty as scheduled.

Staffing & Supervision

  • Recruit, train, schedule, and supervise: Event staff, Security staff
  • Delegate assignments and monitor performance.
  • Recommend appropriate staffing levels based on event scope and attendance.

Client & Contractor Coordination

  • Serve as the primary on-site operational liaison for clients after handoff from Sales.
  • Advise clients on services available from independent contractors.
  • Coordinate with:

- Technical Services

- Food & Beverage

  • Maintain professional and solution-focused communication with all stakeholders.

Food & Beverage Coordination (Execution Only)

  • Coordinate service timing and logistics with Food & Beverage leadership.
  • Verify that contracted catering services are executed as documented.
  • Report service issues or deviations to Operations leadership.
  • Does not sell, price, or contract catering services.

Safety, Security & Compliance

  • Coordinate with municipal officials, including police, fire, and EMS.
  • Review emergency and evacuation procedures with all event staff.
  • Enforce occupancy limits, fire code regulations, and crowd management plans.
  • Investigate and resolve event-related complaints in a professional manner.

Financial & Post-Event Responsibilities

  • Assist with the preparation of pre-event financial estimates.
  • Assist with the completion of post-event settlements in coordination with Operations and Finance.
  • Submit incident reports, labor summaries, and post-event evaluations.

Facilities & Equipment Oversight

  • Assist with facility readiness for events.
  • Maintain event and security equipment (radios, detectors, etc.).
  • Ensure proper setup, teardown, and storage of event equipment.

The salary range for this role is $65,000 - $75,000/year

Requirements:
  • Minimum 1–3 years of progressively responsible event management experience in a convention center, arena, stadium, or public assembly facility.
  • Preferred - Bachelor’s degree in Hospitality, Facility Management, Business, or related field preferred (experience may substitute).
  • Strong leadership, time management, and organizational skills.
  • Strong communication and problem-solving abilities
