Position Summary

The Event Coordinator role blends luxury event coordination, exceptional hospitality, and direct guest engagement. This position supports the planning and execution of private events, member experiences, tastings, and winery programs while serving as a brand ambassador for the Antinori California brands, wines, and standards of excellence. The ideal candidate is highly organized, guest-focused, and energized by creating memorable experiences in a fast-paced luxury hospitality environment.


Classification: Full-Time, Hourly/Non-Exempt


Compensation: $30-$34 per hour (eligible for sales incentives)


Responsibilities (Essential Functions):

Core Responsibilities integral to the job – must be able to perform with or without reasonable accommodation. Includes supervisory responsibility, use of equipment, and indication of key contacts, if applicable.


Event Coordination

  • Complete work orders and equipment lists (BEOs)
  • Provide direction to vendors and associated staff in accordance with Antinori standards of service and hospitality
  • Complete opening/closing duties

Event Facilitation

  • Work with the Special Events BOH team to facilitate and manage events
  • Assist with the setup and breakdown of events
  • Act as on-site contact for guests and vendors during tastings/events
  • Maintain wine inventory

Event and Wine Sales

  • Prospect outreach; take sales calls and send out event sales information
  • Book events using the cloud-based calendar and booking system
  • Compile accurate and well-negotiated event agreements
  • Achieve or exceed department goals by encouraging event bookings, wine sales and club member sign-ups during events
  • Facilitate accurate sales transactions using retail POS registers
  • Create and distribute invoices and settle payments

Guest Experience and Hospitality

  • Provide exceptional customer service and create warm and memorable guest experiences
  • Conduct informative tasting experiences including guided tours with ability to display and convey knowledge of wine
  • Wine service during events
  • Possess a warm, engaging, and hospitality-driven approach to guest interactions

Non-Essential Functions

  • Desirable, but not necessary aspects of the job, can be performed by other employees, may include occasional or periodic functions ? Assist with the service of food during events
  • Assist with the setup and breakdown of events
  • Experience with hospitality, reservation, CRM, or POS platforms such as; Commerce7, Reserve Cloud, NetSuite, Fraxion, Microsoft Office Suite or similar systems preferred

Working Conditions

  • Must be at least 21 years of age
  • Ability to work varied schedules, including nights and weekends
  • Ability to work in various weather conditions
  • Maintains a polished and professional presence consistent with luxury hospitality standards

Physical Requirements

Qualifications

  • 2+ years of luxury customer service/sales experience required * retail/hospitality/wine industry preferred
  • Interest in or knowledge of wine and wine industry
  • Comfort presenting/public speaking to large groups and leading guest experiences
  • Excellent communication skills, customer service skills, and the ability to prioritize while handling multiple tasks are required
  • Strong ability to communicate both verbally and written effectively in a polished, professional, and friendly manner
  • Ability to remain poised and service-oriented in fast-paced environments
  • Detail-oriented and adaptable, able to show flexibility amidst changing job requirements
  • Ability to work varied schedules, including nights and weekends
  • Must have a professional personal presentation
  • Must be enthusiastic and enjoy working with people
  • Must be a proactive and confident self-starter
  • Basic computer skills required
  • Proficiency in Point of Sales (POS) systems preferred
  • Must have a High School diploma or equivalent
