Event Services Manager

Yountville, CA


Summary

The Event Services Manager at The Estate Yountville ensures outstanding, memorable events by leading the Events Department with professionalism, creativity, and attention to detail. This role provides hands-on support and oversight of banquet operations, catering and convention services coordination, event floor operations, and banquet beverage. The Event Services Manager works closely with culinary, stewarding, sales, and all hotel departments to deliver seamless, elevated experiences for meeting planners and guests.


Core Responsibilities

  • Oversee and support daily operations of the Events Department, collaborating closely with the Food & Beverage leadership and other departments.
  • Supervise, coach, and motivate banquet staff including captains, servers, and event attendants to achieve exceptional guest service and full associate engagement.
  • Review and confirm Banquet Event Orders (BEOs) to ensure clear communication with guests and internal teams and accurate execution of event specifications.
  • Coordinate and ensure timely, correct setup of all functions and meetings, maintaining standards for food, beverage, and room setups.
  • Anticipate and plan staffing and equipment needs for events; proactively adjust resources to meet demands.
  • Ensure flawless coordination and execution of events with Culinary, Stewarding, Catering/Convention Services, event floor staff, and Beverage teams.
  • Maintain a high-energy, professional presence and appearance in all interactions and on the event floor.
  • Design and implement creative and tasteful décor concepts appropriate to The Estate Yountville’s brand and venues.
  • Manage both front- and back-of-house banquet functions, overseeing short- and long-term event planning and execution.
  • Foster a culture of service excellence through effective hiring, training, development, promotion, and continuous reinforcement of standards.
  • Handle administrative duties for the Events Department including payroll facilitation, reporting, forecasting, POS procedures, inventory control, and budget monitoring for food & beverage functions.
  • Conduct daily walk-throughs of function spaces, banquet areas, and storerooms to ensure compliance with health regulations and property standards.
  • Develop creative ideas for special events, seasonal programming, and holiday functions to enhance guest experiences.
  • Serve as an integral member of the Food & Beverage leadership team and collaborate with Restaurant, Stewarding, Beverage, and Room Service managers to ensure cohesive operations and consistent guest service.


Qualifications

  • Full-time management position requiring flexibility, including weekends, holidays, and varied schedules.
  • Proven experience in banquet and event operations, with a thorough understanding of all levels of banquet service.
  • Previous roles as Event Services Manager/Assistant, Event Services Supervisor, or Event Captain preferred.
  • Strong leadership skills: high energy, motivational, effective communicator, coach/mentor, and developer of team members.
  • Exceptional customer-service orientation with the ability to anticipate and exceed guest needs in a fast-paced environment.
  • Highly organized, detail-oriented, creative, and able to produce innovative event concepts.
  • Refined verbal and written communication skills.
  • Proficiency with general computer systems and event/banquet management software.

Physical Requirements

  • Ability to sit for extended periods of time while working at a computer
  • Frequent use of hands and fingers for typing, data entry, and handling office equipment
  • Ability to stand, walk, and move through the property for site tours, meetings, and events
  • Ability to occasionally climb stairs, bend, reach, and navigate indoor and outdoor areas of the property
  • Ability to lift and/or move up to 15–20 pounds occasionally (marketing materials, signage, sample kits, or equipment)
