We are seeking an Events Coordinator to join our Events team and help bring these experiences to life.

This is an exciting opportunity for someone who loves hospitality, thrives on details, and enjoys the energy of seeing an event come together from initial inquiry through the final guest departure. Working closely with our Director of Events and teams across our estates, you will help coordinate private, internal, wholesale, and Wine Club events while ensuring every detail reflects the quality and hospitality expected of Far Niente Wine Estates.
This position offers commision.

What You’ll Do

As our Events Coordinator, you will support the planning, coordination, and execution of events across the organization. You will help keep the many moving pieces organized while providing responsive and thoughtful service to clients, guests, vendors, and internal partners.

Key responsibilities include:

  • Manage incoming event inquiries and maintain accurate event information and calendars within TripleSeat.
  • Support site visits, proposals, contracts, deposits, event timelines, and client communications.
  • Coordinate event logistics, including rentals, culinary needs, vendors, décor, supplies, equipment, and other event requirements.
  • Partner closely with Estate leadership and internal teams to coordinate event setup, staffing, timelines, and operational needs.
  • Serve as a responsive and professional point of contact for clients throughout the planning process.
  • Participate in site visits, tastings, and pre-event walkthroughs as assigned.
  • Partner with our Wine Club Event Manager to support Wine Club events, including logistics, administration, vendor coordination, and on-site execution.
  • Prepare event materials, including menus, timelines, and detailed information for on-site teams.
  • Provide hands-on support during events, including guest check-in, staff coordination, troubleshooting, and ensuring an exceptional guest experience.
  • Work closely with vendors to ensure timely delivery and successful execution of services.
  • Maintain event spaces to ensure they remain organized, polished, and consistent with our company standards.
  • Manage post-event details, including final payments, client follow-up, feedback, and reporting.
  • Help maintain event inventory, supplies, décor, and equipment.

We are looking for someone with:

  • 3+ years of experience in event coordination, hospitality, or a related field.
  • Luxury hospitality or customer service experience strongly preferred.
  • A high school diploma or equivalent.
  • Strong organizational skills and exceptional attention to detail.
  • Excellent customer service and interpersonal skills with a warm, positive, and professional approach.
  • Strong written and verbal communication skills.
  • The ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency with Microsoft Office, including Word and Excel.
  • A collaborative mindset and willingness to jump in wherever needed to make an event successful.
  • Ability to lift up to 40 pounds, stand or sit for extended periods, and navigate stairs as required by event operations.
