Job Hours: 8:30 AM to 5:00 PM - Monday - Friday with some evening hours and occasional Saturdays.

The Administrative Access Supervisor serves as the central point of coordination for admissions, access to care, referral management, administrative and business support functions for View Point Health's Residential Substance Use Disorder Continuum of Care. This position works collaboratively with leadership, clinical staff, nursing staff, referral sources, and community partners to ensure timely access to services and efficient day one client flow with the admissions process.

The Administrative Access Supervisor also provides direct supervision to the GRAN Recovery Center Care Coordinator and supports front office administrative functions including purchasing, invoicing, reporting, and administrative compliance. The ideal candidate is highly organized, customer-service focused, technologically proficient, and able to effectively balance competing priorities in a fast-paced healthcare environment.

The Administrative Access Supervisor is the primary point of contact for admissions and referral coordination for GRAN Recovery Center and supports Access coordination to PACE Detox while ensuring key administrative and operational processes are completed accurately and efficiently. This role is instrumental in supporting access to care, maintaining referral relationships, improving patient flow, and strengthening operational efficiency across the Residential SUD Continuum.

Duties and Responsibilities

Access to Care & Admissions Coordination

  • Serves as the primary point of contact for referrals to GRAN Recovery Center.
  • Screens individuals for admission and determines preliminary eligibility for services.
  • Coordinates admissions and transfers between levels of care, particularly PACE to GRAN transitions
  • Collaborates closely with nursing, clinical, and leadership staff to facilitate timely admission decisions.
  • Maintains regular communication with referral sources, hospitals, courts, providers, and community partners.
  • Conducts follow-up with referral sources and prospective clients regarding admission status.
  • Facilitates warm handoffs between programs and levels of care.
  • Links individuals to appropriate services when they are not eligible for residential treatment.

Administrative Support

  • Oversees administrative processes supporting both residential programs.
  • Provides direct supervision to the GRAN Care Coordinator, including onboarding, training, coaching, workflow oversight, performance management, and completion of annual performance evaluations.
  • Ensures the Care Coordinator is providing high-quality customer service, timely documentation, and effective support with admissions, discharges, and care coordination activities.
  • Assists leadership with purchasing, invoices, and operational tracking.
  • Coordinates MultiView purchase requests and monitors order completion.
  • Oversees program credit card receipt collection and PCard reconciliation processes.
  • Tracks vendor invoices and assists with payment processing.
  • Assists with maintaining program inventories and supply ordering.
  • Supports payroll and leave tracking functions as assigned.
  • Maintains operational logs, reports, databases, and tracking systems.
  • Assists with preparation of monthly program reports and performance metrics.
  • Identifies opportunities to improve administrative workflows, operational efficiency, and customer service processes across the Residential SUD Continuum

Referral Development & Community Relations

  • Develops and maintains strong working relationships with referral sources and community partners.
  • Serves as an ambassador for Residential SUD services within the community.
  • Responds promptly to referral inquiries and requests for information.
  • Supports outreach efforts and referral development activities as assigned.

Documentation & Compliance

  • Ensures timely and accurate completion of admission-related documentation.
  • Maintains organized records and tracking systems.
  • Supports compliance with agency policies, payer requirements, and regulatory standards.
  • Assists with data collection and reporting related to access, admissions, and program outcomes.

Minimum Qualifications

A Bachelor's degree in a social services-related field from an accredited institution and 2 years of related experience (including 1 year of supervisory experience). OR A High School diploma or GED and four (4) years of job-related experience in a social services position (including one (1) year in a lead or supervisory role). OR 1 year of experience at the lower-level classification of Social Services Technician 3 (SST012).

Preferred Qualifications

  • Experience with clinical screening, intake, triage, and assessment processes.
  • Experience working in Substance Use Disorder treatment programs.
  • Experience supervising staff or leading administrative workflows.
  • Experience with CareLogic or other electronic health record systems.
  • Strong understanding of ASAM levels of care.
  • Experience working within a Community Service Board or DBHDD-funded program.
  • Certified Peer Specialist - Addiction (CPS-AD) credential preferred.
  • Lived experience in recovery and/or familiarity with recovery-oriented systems of care.
  • Excellent problem-solving skills and ability to thrive in a rapidly changing environment

  • Must have valid Georgia driver's license and Motor Vehicle Record in accordance with company policy.
  • Candidates for selection must pass a criminal background check (including fingerprinting).
  • Must pass a pre-employment drug screen and subject to random drug screens.
