Job description

Receptionist

Radio One is seeking a professional, friendly, and highly organized Receptionist to serve as the first point of contact for employees, clients, vendors, artists, community partners, and visitors. The Receptionist will provide exceptional front-desk service while supporting the day-to-day administrative needs of the office.

The ideal candidate is personable, dependable, polished, and comfortable working in a fast-paced entertainment and media environment.

Essential Responsibilities
  • Greet and welcome all visitors, clients, talent, vendors, and guests in a professional and courteous manner.
  • Answer, screen, and direct incoming telephone calls.
  • Manage the reception area and maintain a professional appearance.
  • Receive and distribute mail, packages, deliveries, and other correspondence.
  • Maintain visitor logs and follow company security and building access procedures.
  • Notify employees when guests arrive and assist with meeting-room coordination.
  • Respond to general inquiries and direct visitors or callers to the appropriate department.
  • Provide administrative support to station management and various departments as needed.
  • Assist with scheduling meetings, coordinating conference rooms, and maintaining calendars when requested.
  • Maintain office supplies and notify appropriate staff when supplies need to be reordered.
  • Assist with copying, scanning, filing, printing, and other basic office functions.
  • Support promotions, marketing, events, and station activities as needed.
  • Assist with artist, client, sponsor, and community partner arrivals during station events and activations.
  • Maintain confidentiality regarding company, employee, client, talent, and business information.
  • Perform other duties and special projects as assigned.
Qualifications
  • High school diploma or equivalent required.
  • 1โ€“2 years of receptionist, administrative, customer service, or related experience preferred.
  • Excellent verbal and written communication skills.
  • Professional and welcoming demeanor.
  • Strong organizational and time-management skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong attention to detail.
  • Comfortable interacting with people at all levels of an organization.
  • Basic proficiency with Microsoft Office, email, calendars, and other office technology.
  • Ability to maintain professionalism and composure in a busy media/entertainment environment.
  • Must be dependable, punctual, and able to work independently.
