About This Role

Science Akadémeia is a STEM-focused early learning institution committed to academic excellence, operational precision, and innovation in early childhood education. We are seeking a highly organized, punctual, and professional Administrative Assistant to the Director / Receptionist to serve as the first point of contact for families and to support the daily administrative and operational functions of the school.

This role requires discretion, efficiency, technological competence, warmth, and strict adherence to compliance standards in a regulated early childhood environment.

Position Overview

The Administrative Assistant provides direct support to the Director while managing front desk operations, enrollment communication, and compliance documentation. This individual plays a critical role in maintaining professionalism, structure, and consistency in school operations.

This position may also require occasional classroom support when operationally necessary.


What You'll Do
Key ResponsibilitiesFront Office & Reception
  • Greet families, visitors, and vendors with a pleasant and professional demeanor
  • Answer and route phone calls and emails promptly
  • Manage visitor sign-in procedures and security protocols
  • Maintain a clean, welcoming, and organized front office environment
Administrative & Director Support
  • Assist the Director with scheduling, reporting, and documentation
  • Maintain accurate student files in compliance with DECAL regulations
  • Track enrollment paperwork and immunization records
  • Support billing, tuition authorization, and payment tracking
  • Prepare professional correspondence and school communications
  • Coordinate and schedule tours with prospective families
Enrollment & Marketing Support
  • Follow up promptly on all website inquiries and social media leads
  • Track prospective family communications
  • Support social media updates and engagement
  • Assist with marketing initiatives and event coordination
Compliance & Documentation
  • Ensure strict compliance with Georgia Bright from the Start / DECAL policies
  • Maintain attendance and regulatory documentation
  • Track required staff training and licensing records
  • Follow all internal school policies and procedures without exception
Classroom Support (As Needed)
  • Provide support in classrooms during staff absences or high-need periods
  • Assist teachers with supervision, transitions, and classroom organization
  • Support student engagement while maintaining school behavioral standards
  • Uphold all health, safety, and ratio requirements
Required Qualifications
  • Associate’s or Bachelor’s degree preferred
  • Minimum 1 year of administrative or front office experience (school setting preferred)
  • Experience working with children in an educational setting is a plus
  • Professional presentation and communication skills
