Job description

Job Description:
We are seeking a motivated, detail-oriented Entry-Level Subcontract Administrator to support subcontract activities for NASA-related programs. This role is ideal for candidates with 0-2 years of experience who are interested in developing a career in government contracting and procurement within a growing small business environment. The selected candidate will support subcontract administration activities, supplier coordination, compliance tracking, and cross-functional program support for mission-focused federal contracts.
Job Duties:
  • Support the full subcontract lifecycle from requisition through closeout for commercial and non-commercial subcontracts.
  • Prepare and issue Requests for Quotations (RFQs), Requests for Proposals (RFPs), and other solicitation packages to prospective suppliers and subcontractors.
  • Coordinate with program management, contracts, procurement, finance, and technical personnel to support subcontract requirements.
  • Review supplier proposals for completeness, compliance, pricing, and contractual requirements.
  • Assist with proposal evaluations, price analyses, and negotiations of subcontract terms and conditions under supervision.
  • Draft and administer subcontracts, purchase orders, modifications, nondisclosure agreements (NDAs), and other subcontract-related documents.
  • Maintain accurate subcontract files and documentation in accordance with company procedures and government compliance requirements.
  • Monitor subcontractor performance, deliverables, funding, and period-of-performance milestones.
  • Track and process subcontract modifications, invoices, consent packages, and other subcontract actions.
  • Ensure subcontract activities comply with FAR, NFS, customer requirements, and company policies.
  • Assist with subcontract closeout activities, including final documentation, invoice reconciliation, and file archiving.
  • Communicate professionally with internal stakeholders and external subcontractors to resolve issues and support program objectives.
  • Participate in internal/external audits, file reviews, and compliance assessments as required.
  • Maintain subcontract status reports, logs, and procurement tracking tools.
  • Perform other duties as assigned to support contracts, procurement, and program operations.

Requirements:
  • Bachelor's degree (in Business Administration or related field) and 0-2 years related experience or 2-4 years of related experience in lieu of education requirement.
  • Knowledge of various contract types including CPAF, CPFF, T&M, and FFP
  • Understanding of FAR (Federal Acquisition Regulations) and Federal Travel Regulations (FTR)
  • Understanding of government contracting principles
  • Excellent written and oral communication skills, along with organizational, analytical, and project/time management skills
  • Must be detail oriented with the ability to work well with a diverse technical and administrative team in a fast-paced, deadline driven environment
  • Critical attention to detail
  • Working knowledge of Microsoft Office Suite Applications including Excel and Word
  • Must be a U.S. Citizen or Permanent Resident due to facility requirements
  • Salary range is $52k-$57k
  • Potential for hybrid work for the right candidate

Desired Qualifications:
  • Familiarity with Deltek Costpoint or similar accounting/timekeeping systems.
  • Expertise with Microsoft Excel
  • Understanding of contract and subcontract closeouts
