Overview

New grads welcome to apply! The Financial Advisor Operations Specialist is a strategic partner in ensuring operational excellence for JFG Financial Advisors. This role provides consultative guidance, training, and advanced support across compliance, operations, and marketing initiatives. Working closely with advisors, their assistants, and leadership, the position optimizes workflows, resolves complex issues, and drives efficiency. Additionally, the Operations Assistant serves as the primary backup to the Operations Manager, ensuring continuity
and oversight of critical functions when needed.

KEY RESPONSIBILITIES

  • Serve as a primary internal resource for Financial Advisors, Financial Advisor Assistants, and management, providing timely, accurate, and proactive assistance. Build strong relationships with the Financial Advisor team, Broker-Dealer service teams, and JFG operational areas to ensure seamless communication and issue resolution.
  • Maintain deep knowledge of Broker-Dealer platforms, vendor systems, and JFG processes to act as the first point of contact for troubleshooting and operational support. Provide guidance on best practices for leveraging technology and streamlining workflows.
  • Act as a trusted consultant by understanding advisor needs, analyzing issues, and formulating effective solutions. Escalate complex matters appropriately and share recommendations to improve efficiency and compliance.
  • Support advisors without dedicated assistants by handling critical tasks such as client account openings, trade execution, funds processing, and client service requests with accuracy and compliance.
  • Manage data and reporting requirements for the segmentation tool and ensure accuracy for business planning purposes.
  • Design, prepare, and deliver detailed performance management reports on a weekly, monthly, and quarterly basis for leadership and advisors, utilizing advanced Excel functions (pivot tables, VLOOKUP, charts) to provide detailed insights.
  • Manage rep changes and client transfers between advisors, ensuring accurate processing and clear client communication throughout the transition.
  • Lead the annual advisory review process, ensuring adherence to industry regulations and internal compliance standards.
  • Train new Financial Advisors and Assistants on technology platforms, operational processes, and best practices to ensure smooth onboarding and adoption.
  • Manage the weekly Operations Meeting, including agenda preparation, facilitation, and follow-up actions.
  • Plan and manage logistics, technology, and catering for Financial Advisor and Assistant meetings, partnering with Program and Operations Managers to ensure successful execution.
  • Oversee FMG and Redtail CRM management ensuring data integrity and proper utilization of marketing and client relationship tools.
  • Process invoices accurately and in a timely manner, maintaining compliance with internal financial controls.
  • Develop strong working relationships across JFG departments to facilitate effective communication and operational alignment.
  • Assist with special projects assigned by leadership and contribute ideas to streamline processes, enhance efficiency, and improve the advisor experience.
  • Collaborate with other Operations Assistants to allocate tasks effectively and serve as primary backup for one another, ensuring continuity of service.

Required Experience

  • College degree required. Preferably in a business or personal finance discipline. Experience will be considered in lieu of education.
  • FINRA and/or SEC experience preferred. Preferably in a client-facing capacity. Knowledge of security rules and regulates is desired.
  • SIE, Series 7 and 65 or 66 Licenses required within 12 months of hire.
  • Position requires strong analytical, project management and technical skills. Experience in data base management and system technology is preferred.
  • Ability to communicate effectively at all levels and develop rapport and relationships with internal business partners.
  • Understanding and strong working knowledge of MS Office products, CRM; ability to effectively utilize Bank and Broker Dealer Operating Systems.
  • Exhibits effective listening skills, solid problem solving and decision-making skills.
