About the Role
We are looking for a motivated and detail-oriented Entry-Level Administrative Assistant to support our operations team. This role is ideal for someone eager to learn, grow within the company, and take on more responsibilities over time.
The position involves assisting with administrative tasks, monitoring day-to-day operations on the floor, and ensuring that employee task lists and duties are completed efficiently. The ideal candidate will be hands-on: ready to step in on the floor to fix small issues, coordinate with vendors, and support smooth day-to-day operations throughout the facility.Key Responsibilities
  • Be present on the floor to identify, address, and resolve operational issues as they arise.
  • Perform light facility troubleshooting (e.g., reporting maintenance issues, restocking supplies, minor fixes).
  • Check in regularly with employees to ensure daily task lists are being completed accurately and on schedule.
  • Provide updates to management regarding workflow progress, task completion, and any obstacles.
  • Assist with bill organization, payment coordination, and vendor communication (e.g., invoices, supply orders, service schedules).
  • Support the coordination of staff schedules, meetings, and internal communications.
  • Organize and maintain inventory, office supplies, and essential equipment.
  • Help maintain accurate administrative records, invoices, and documentation.
  • Perform other administrative duties as assigned to ensure efficient clinic operations.
  • Contribute ideas to improve workflow efficiency, team collaboration, and overall organization.
Qualifications
  • High school diploma or equivalent (Associate's or Bachelor's degree a plus).
  • Strong organizational and communication skills.
  • Comfortable being on the floor in a fast-paced environment and assisting where needed.
  • Ability to multitask, prioritize, and adapt to changing needs.
  • Team-oriented, proactive, and eager to learn.
  • Basic computer skills (Microsoft Office, Google Workspace, etc.).
  • Willingness to assist with vendor and billing processes (training provided).
