Job Summary

Shannon & Wilson’s Seattle has an opening for an administrative assistant to support our engineering and scientific teams with a wide range of tasks at our Fremont office and Ballard warehouse. We are seeking a versatile team member with a meticulous eye for detail who will thrive in a collaborative and fast-paced environment. This is an on-call, intermittent position; hours will fluctuate based on short-term staffing needs. Hours will be completed in person at our Seattle locations.


Responsibilities:

  • Provide backup coverage for the front desk. Answer calls on a multi-line phone system, greet callers and visitors, forward messages to appropriate staff, restock office and breakroom supplies, and assist with incoming and outgoing mail and packages.
  • Provide back-up coverage for facilities and warehouse staff. Tasks may include checking inventory, purchasing, equipment check-out, and moving items weighing 30+ pounds.
  • Perform database and spreadsheet entries.
  • Provide meeting and event support. Assist with room scheduling, event setup and breakdown, presentation/slideshow materials, IT coordination, and other tasks as needed.
  • Assist with shooting, editing, and uploading videos and other media content.
  • Provide document processing support. Assist with compiling and bookmarking electronic PDF documents (in Adobe Acrobat or similar PDF software), PDF optimization, and copying and printing paper documents. Format documents using Adobe InDesign.
  • Follow Shannon & Wilson's Quality Assurance (QA) and Loss Prevention policies.
  • Assist technical and administrative employees with additional administrative tasks as needed.
  • Perform other duties as assigned by supervisor.
Requirements:
  • Two to four years of relevant experience. College degree preferred.
  • Proficiency in MS Word, MS Excel, and Adobe Acrobat (or similar PDF application). Proficiency in Adobe Creative Suite preferred. Aptitude for learning new software.
  • Excellent attention to detail required.
  • Experience with Quality Assurance (QA) programs and audit procedures and record keeping, desirable.
  • Excellent writing, organizational, and communication skills.
  • Personable, flexible, and professional demeanor.
  • The ability to work independently with the appropriate level of supervision.
  • A valid driver license and insurable driving record.
  • Frequent sitting, standing, and walking (with or without accommodations)
