Job Description
The Administrative Assistant provides administrative and organizational support across the company. This role is responsible for managing front office operations, coordinating office resources and inventory, supporting company communications and marketing initiatives, and assisting with a variety of administrative tasks that contribute to the efficient operation of the organization. The ideal candidate is highly organized, professional, and capable of balancing a variety of responsibilities while helping ensure the office operates efficiently.
Role and Responsibilities
  • Inventory, organize, and distribute company gear, apparel, promotional items, and swag; maintain accurate inventory records and coordinate reorders as needed
  • Monitor office and safety supply levels and coordinate purchasing to ensure adequate inventory is maintained
  • Assist with company marketing efforts by drafting website project updates, social media content, employee announcements, and other internal and external communications
  • Greet visitors, clients, vendors, and employees in a professional and welcoming manner
  • Answer, screen, and direct incoming phone calls and inquiries
  • Maintain a clean, organized, and professional office environment, including conference rooms, reception areas, kitchen spaces, and restrooms
  • Maintain and organize electronic and physical filing systems; update records and request information from employees, clients, and project teams as needed
  • Assist with scheduling meetings, preparing meeting materials, and coordinating logistics
  • Support the planning and execution of company meetings, trainings, celebrations, community events
  • Coordinate conference room schedules and assist with meeting setup and cleanup
  • Manage incoming and outgoing mail, packages, and deliveries
  • Maintain company contact lists, distribution lists, and organizational records
  • Assist with data entry, document preparation, formatting, and administrative reporting
  • Support company leadership and departments with special projects and administrative tasks as assigned
  • Learn and effectively utilize company software and communication platforms, including Outlook, Procore, Microsoft Office, and other business systems
  • Maintain confidentiality when handling sensitive company and employee information
  • Bill all project-related hours worked to the appropriate project(s)
  • Perform any other task(s) requested by CCI

Hiring Requirements
  • Two or more years of administrative experience
  • Dependable and timely
  • Proficiency in MS Office with expertise in Microsoft Word, PowerPoint, and Excel
  • Ability to work in a fast-paced office environment
  • Exceptional written and verbal communication skills
  • Good critical thinking and attention to detail
  • Superior organization and problem-solving skills

The following certifications are required for this position. If an employee does not have the certifications, they will be required to obtain them within 6 months of the date of hire or transfer into the position.

Compensation and Benefits
This is a part-time, non-exempt, hourly position. The hourly pay range is $20-$30 depending on qualifications and experience. The typical schedule will be Monday-Friday, 8am-1pm, with occasional weekend/evening hours required. Clark Construction is an Equal Opportunity Employer.
In addition, Clark offers the following benefits to part-time staff:
Paid Time Off: Employees accrue one (1) hour of Paid Time Off (PTO) for every forty (40) hours worked for sick, vacation, and personal time.
Paid Holidays: There are 9 paid holidays each year:

401K: CCI has a 401K program to assist employees in saving for retirement. Employees are eligible to designate how much they would like to contribute to their 401K account starting their first day of work. CCI offers a 401k match program, matching up to 4% of the employee's annual pay.
Cell Stipend: You are eligible to receive a $500/year cell phone stipend, paid quarterly at the end of each quarter. You must be employed during the entire quarter to be eligible for that period.
