Role description:

Arcadis is seeking a talented Document Controller to join our team in Eastern Canada. As an integral part of our project delivery teams, the successful candidate will utilize their expertise to help the company deliver client success and have the opportunity to work on unique projects with a local focus to make a global difference.  

This position will be at the centre of effective document control for Civil Engineering projects, ensuring company procedures are applied with accuracy, consistency, and attention to detail. By maintaining reliable records and producing comprehensive document logs, the Document Controller will help keep vital project information organized, accessible, and ready to support informed decision-making.

Role accountabilities:

In this role, you will be responsible for archiving, controlling, and retrieving records as required, ensuring all documentation remains accurate, accessible, and up to date. You will also scan, image, index, and organize a broad range of documents, classifying, sorting, and categorizing them in line with the project document control system.

You will also play a key part in managing the issuance of documents, making sure the correct approvals are obtained before any information is released. In this role, you will review documents for completeness and accuracy, carrying out quality checks and ensuring all materials comply with established document control procedures.

As part of your responsibilities, you will support the migration of files where needed and assist with audit activities to help maintain the integrity of project records. You will also provide regular status updates on documentation, keeping stakeholders informed on progress and the workflow of document-related tasks.

In addition, you will maintain Request for Information (RFI) logs and distribute RFI responses appropriately, helping to support clear and efficient communication across the project team. Overall, in this role you will contribute to the smooth, compliant, and well-organized management of project documentation.

Document controller should be able to be present at the Construction Site as needed.

Qualifications & Experience:

  • Bachelor's Degree and / or Diploma in Information Management  
  • Proven experience as a Document Controller in the Civil Engineering sector, ideally Transportation  
  • Involvement with large and complex projects from concept to delivery - P3 experience would be desirable  
  • Ability to prioritize daily tasks, manage time well, multitask and troubleshoot while handling multiple deadlines  
  • Detail-oriented, dependable and trustworthy when in contact with complex and sensitive documents  
  • Self-directed - the ability to work independently and used to working in a fast-paced and deadline driven environment  
  • Stay focused and carry out their tasks in a timely and accurate manner  
  • Ability to interact and coordinate with internal and external business partners  
  • Strong communication and presentation skills - both verbal and written  
  • Preferable to have experience working on construction sites  
  • Experienced with EDMS (SharePoint, Aconex, ProCore)

The salary range for this position is $64,000 - $97,000. The base salary represents Arcadis' hiring range for this position. Actual salaries will vary and will be based on various factors, such as location, skills, experience, and qualification for the role.
