Job description

Description

Position Function:

Demonstrate excellent customer service and communication to project a warm, welcoming and professional environment respecting service population's cultural and socioeconomic characteristics. Facilitate effective communication between program participants and staff whether in-person, on the phone, or in writing. Work with the full time receptionist to ensure smooth daily operations. Provide additional support to daily operations as directed by Evaluation Manager.


Requirements:


Education: High School required. Bilingual required.


Experience: One year of receptionist experience required. Knowledge of Microsoft Office Suite. Prior database entry experience preferred.


Working Conditions:

Visible and open environment with frequent interaction with program participants and staff. Sitting for long periods of time at computer, receive and return phone calls. Lifting files and office supplies required, up to 25 pounds.


Exposure to Confidential Information:

Maintain confidentiality, and follow policies related to personnel and client records


Key Expectations/Responsibilities:

  • Maintain high ethical standards which are outlined in the ACH Child and Family Services Code of Ethics.
  • Greet and welcome all program participants and visitors.
  • Check in visitors and direct them to their destination.
  • Inform staff of visitor's arrivals or cancellations.
  • Copy, upload, and maintain electronic documents in client database.
  • Answer and appropriately route all incoming calls, receive messages and provide professional, courteous customer service.
  • Confirm scheduled appointments through timely reminder phone calls and emails.
  • Maintain communication with staff to facilitate connection between program participants and staff.
  • Maintain a tidy, professional receptionist desk and ensure the entry and waiting areas are presentable, and welcoming.
  • Maintain confidential information/records.
  • Other duties as assigned
