The Role:
We are seeking an experienced Creative Assistant to support our Canada Content team in Toronto. A successful candidate will be self-motivated, proactive, quick-thinking, flexible, able to juggle multiple and diverse responsibilities. They will need to have a strong emphasis on organization and unwavering attention to detail at all times. This is a demanding and fast-moving position that requires someone who is a proactive and positive thinker, and able to exercise good judgment and communication.
Specific responsibilities include, but are not limited to:
  • Manage calendars for 1-2 executives, including booking and confirming meetings and calls in multiple timezones, internally & externally
  • Maintain and track projects and their statuses throughout the development and production process utilizing internal tools and databases
  • Coordinate travel arrangements (domestic & international) and other related administrative duties (i.e. processing travel and expense reports, digital and physical filing, etc)
  • Manage incoming submissions of pitch materials, scripts, etc.
  • Take notes in meetings and circulate pertinent information to the greater team
  • Create presentations and documents using Google Docs and Slides
  • Assist with team projects and events as needed
  • Heavy communication internally and externally
  • Display professionalism in communication with internal and external partners

Qualifications:
  • 3+ years as an executive / administrative assistant or project coordinator role, preferably in the Media / Film & Television industry
  • Strong written and verbal communication skills and the ability to multi-task
  • Ability to be discrete and maintain confidential information
  • Team-player who operates in a fast-paced team-oriented setting
  • Understanding of how to prioritize and respond accordingly
  • Strong proficiency in G-Suite: Gmail, Google Calendar, Google Docs & Drives
  • French language proficiency is a plus
