Position Summary
The University of Missouri Department of Athletics is seeking a Conversion Coordinator to assist with facility scheduling, event conversions, and venue changeovers within a high-level Division I Athletics environment. Reporting to the Assistant Athletics Director of Facility Operations, this position will play a critical role in coordinating facility use, managing event transitions, and ensuring athletic and event spaces are prepared efficiently and safely to support student-athlete success, competition standards, and external events while maintaining compliance with NCAA, conference, and University policies.
Key Responsibilities
1. Facility Scheduling and Coordination (35%)
• Manage and coordinate facility schedules for practices, competitions, meetings, and external events.
• Assist with scheduling requests and facility availability inquiries.
• Communicate schedule updates, conflicts, and changes to event management and other personnel.
• Maintain scheduling systems and calendars to ensure accurate and efficient facility utilization.
• Collaborate with internal stakeholders to maximize facility usage while balancing operational priorities and program needs.
2. Event Conversion and Changeover Operations (30%)
• Coordinate and oversee venue conversions and changeovers for athletic competitions, special events, concerts, and external rentals.
• Develop and implement conversion timelines, staffing plans, and setup requirements to ensure successful transitions between events.
• Coordinate equipment movement, floor installations, seating configurations, staging, signage, and other event infrastructure needs.
• Monitor conversion activities to ensure projects are completed safely, efficiently, and on schedule.
• Serve as an on-site coordinator during major conversions and event transitions, addressing operational issues in real time.
3. Event Operations Support (15%)
• Collaborate with event management, custodial services, and external vendors to support event readiness.
• Assist in planning and executing facility setups and breakdowns for athletic and special events.
• Ensure event spaces meet operational requirements and customer expectations prior to occupancy.
• Support post-event evaluations and identify opportunities to improve conversion and scheduling processes.
4. Staffing and Resource Management (10%)
• Coordinate conversion crews, student staff, temporary labor, and contracted personnel assigned to event setups and changeovers.
• Assist with scheduling and supervising event conversion staff.
• Track labor hours, staffing allocations, and resource utilization for facility conversions and events.
• Ensure staff adhere to safety procedures and operational standards.
5. Inventory, Equipment, and Budget Support (5%)
• Maintain inventory of conversion equipment, event furnishings, tools, and operational supplies.
• Assist with procurement and replacement planning for conversion-related equipment and materials.
• Support budget tracking related to event conversions, staffing, and operational expenses.
6. Other Duties (5%)
• Perform additional duties as assigned by Athletics administration.
• Ensure compliance with University, NCAA, and SEC rules, policies, and procedures.
Shift
Monday - Friday, 8am-5pm
Minimum Qualifications
High school diploma or equivalent and at least 3 years of experience from which comparable knowledge, skills and abilities can be acquired is necessary.
Anticipated Hiring Range
Salary Range: $17.50 - $23.00 per hour
Grade: GGS 007
